Together, we create something unique that keeps on growing year after year.As a Work Order Administrative Assistant, you will manage, create, prioritize, and track maintenance work orders to ensure timely completion and smooth cross-departmental communication. The ideal candidate will possess strong organization skills & is detail oriented with strong verbal and written interpersonal skills. Must be bilingual in English and Spanish and able to work independently in a fast-paced environment to meet deadline sensitive tasks. This position will report directly to a customer site located in South Orange County.Highlights of what our Work Order Administrative Assistant will include, but not limited to:Act as a main point of contact between requestors and maintenance teams with work orders from initiation to completionGenerate, review, and process incoming maintenance requestsAssign work orders to the appropriate teams based on urgency and resource availabilityMonitor ongoing work orders daily, print document packets, and follow up on delayed or open tasksMaintain accurate digital and physical records, close completed orders, and prepare data for billing or auditsCommunicate effectively with staff and customers to report status updates, resolve discrepancies, and manage expectationsEnters purchase orders, enters receipts into accounting system, updates purchase orders & audits and correct material job costs & overhead purchasesAnswers all incoming emails and calls to include work order inquiriesProvides general office tasks as needed such as: filing, mail distribution, data entry, etc.Handles/coordinates new employee on-boarding including completion of employee formsMay process weekly payroll processing (data entry, reviews & edits) to include data entry of time cards & weekly pay distributionOther administrative responsibilities as requiredAre you the right fit for this role? Skills & experience that are necessary as an Office Administrator will include, but not limited to:2 years+ of work order processing experience with hands-on experience in: work order processing, payroll processing, accounts payable, accounts receivable and purchase ordering is requiredBilingual in Spanish and English is requiredMust be able to work independently and able to meet deadlinesRequired to have a high attention to detail, strong organizational skills and able to multi-task and meet routine deadlinesWork order processing/administrative experience within the landscape or industry adjacent industries such as facilities management or commercial property operations is highly preferredHighly Proficient in MS Office - Specifically ExcelHigh school diploma or an associate degree in a related fieldStrong organizational skills, high attention to detail, multi-tasking capabilities, and clear written and verbal communicationHourly rate: $28.00 - $30.00 per hour (specific compensation may vary based on overall skills, experience and location)Here at Gothic Landscape, we believe that your success is our success.
