Legal Operations Coordinator

Michael Best is seeking a Legal Operations Coordinator to support Practice Group Managers and partner closely with Firm leadership. The Legal Operations Coordinator works closely with Practice Group Managers to support practice group operations through coordination, financial tracking, and cross-functional collaboration, helping ensure work is organized, issues are addressed, and processes run smoothly. What You'll Be Doing Support Practice Group Manager(s) with day-to-day practice group coordination. Assist with tracking WIP, AR, utilization, and related reporting; flag issues and support follow-ups. Coordinate reminders and follow-ups related to time entry, proformas, and key deadlines. Partner with Finance and PG leadership to support resolution of billing or matter-related issues. Provide basic reporting and status updates for leadership as requested. Facilitate periodic high-volume email communications (e.g., quarterly outreach). Assist with meeting coordination (e.g., scheduling, agendas, materials, follow-ups). Help coordinate and compile information for annual processes such as reviews, compensation, and business planning cycles. Serve as a point of contact for operations-related questions. Support timekeeper onboarding, lateral client intake, attorney departures, and client transfers. Develop working knowledge of conflict checks and intake processes. Collaborate with key firm stakeholders (Finance, Business Development, HR, etc.) to support timely execution of operational workflows. Assist with process improvements across structure, technology, and workflows. Support development of training materials, templates, and documentation. Help reinforce consistent processes across practice groups. Support implementation of Practice Group and Firm strategic initiatives. Support special projects and ad hoc requests as assigned, including providing enhanced support to high-volume attorneys, assisting with billing-related coordination, and contributing to client-facing initiatives as needed. Bring Your Best Knowledge, Skills, Abilities & Other Characteristics Strong organizational skills with the ability to manage multiple priorities, workflows, and deadlines. Professional, adaptable critical thinker, solution-oriented with a customer‑service mindset. Basic understanding of financial statements and profitability. High attention to detail and accuracy, particularly in tracking data, reporting, and coordination tasks. Ability to identify gaps, proactively follow up, and escalate issues as needed. Strong written and verbal communication skills, with the ability to collaborate across teams. Proficiency in Microsoft Office and ability to learn firm systems. Undergraduate Degree preferred. 3+ years' experience in a service environment; preferably in cross‑functional team environment.
