Front Office Assistant

Overview AVIAN is seeking a Front Office Assistant to serve as the welcoming face of our headquarters and provide exceptional administrative support to employees, visitors, and leadership. The ideal candidate is positive, proactive, eager to learn, detail‑oriented, and committed to delivering outstanding customer service. Success in this role requires excellent listening and problem‑solving skills, the ability to quickly adapt to changing priorities, and a willingness to take initiative in a fast‑paced, team‑oriented environment. Responsibilities Greet customers in a courteous, friendly, and professional manner Check‑in and direct all guests/visitors to their conference room Perform opening/closing duties Answer all incoming telephone calls and direct appropriately Assist in maintaining the professional appearance of all conference rooms Maintain cleanliness and tidiness of the reception desk and lobby Provide conference room support for meetings Coordinate/schedule meetings and phone conferences Assist with the coordination and support of events Track, restock, and organize office supplies in storage spaces Serve as an initial point of contact for facility access during working hours Create and maintain files Perform Mail Merges for mailings Perform data entry Sort and distribute all incoming mail Qualifications Education: High School diploma or GED (some college preferred) Experience: The ideal candidate will possess the following position related skills: Working knowledge of the full Microsoft 365 suite of products (Word, Excel, PowerPoint, Outlook, etc.) Excellent written and oral communication skills Familiar with computer hardware and ability to connect IT equipment including laptops, projectors, printers, and cables Additional requirements: This role supports our Corporate Staff at its headquarters building in Lexington Park, Maryland and is not eligible for remote/hybrid candidates. Due to the sensitivity of customer‑related requirements, U.S. Citizenship is required. Salary range: $44,000 - $54,000 (The offered rate will be based on the selected candidate’s knowledge, skills, abilities, and/or experience and in consideration of internal parity.)
