Customer Service Account Representative

P/Kaufmann Contract is looking for their next superstar Customer Service Account Representative! Work Schedule/Hours: Monday–Friday Schedule: In office Monday–Thursday; remote Fridays Location: Corporate Office, Midtown Manhattan Reports To: Customer Service Manager What You Will Do As a Customer Service Account Representative for our PK Contract division , the goal is for you to serve as a primary point of contact for an assigned group of customers, managing their orders and account needs from the time an order is received through delivery and final customer satisfaction. This is an account-focused role that requires strong attention to detail, organization, communication, and the ability to coordinate effectively with customers, sales representatives, and internal departments. Key Responsibilities Manage customer orders from receipt through delivery, serving as the primary customer contact throughout the order lifecycle. Process and confirm customer orders received via email and vendor/supplier portals. Review purchase orders for accuracy, including pricing, quantities, billing information, shipping instructions, and delivery timelines. Enter special instructions, customer requests, and relevant notes into orders and customer records. Maintain accurate customer account information, including pricing, new products, shipping and billing addresses, and delivery instructions. Build and maintain strong, professional relationships with assigned customers through responsive and consistent communication. Communicate regularly with internal departments, including Credit, Warehouse, Shipping, and Sales, to ensure orders are processed accurately and delivered on time. Monitor order status and proactively communicate updates, changes, delays, or other issues to customers. Respond promptly to customer and sales representative inquiries regarding orders, accounts, products, inventory, shipping, and delivery. Take ownership of customer issues and work with the appropriate internal teams to identify solutions and ensure timely resolution. Record and resolve customer complaints in accordance with company procedures. Process product returns and related documentation following company policies. Check inventory availability and communicate product availability or potential issues to customers and sales representatives. Provide product information and recommend alternative products when requested items are unavailable or circumstances require an alternative solution. Coordinate and adjust shipping schedules when requested to help ensure on-time delivery and accurate billing, including expedited shipping. Follow each order through completion, ensuring the customer is informed, satisfied, and supported throughout the process. Assist sales representatives with customer account questions, order management, and problem resolution. Identify opportunities to strengthen customer relationships and support customer retention and growth. Complete other duties and special projects as assigned. Who You Are & What You Bring 3+ years of customer service, account coordination, order management, sales support, or related experience in a professional office environment. Customer-focused professional who enjoys building relationships and taking ownership of customer accounts and orders. Bright, self-motivated, and eager to learn the details of the business, products, customers, and position responsibilities. Strong organizational skills with exceptional attention to detail and accuracy. Excellent written and verbal communication skills. Professional telephone and email etiquette is required. Ability to manage multiple customer accounts, orders, priorities, and deadlines in a fast-paced environment. Ability to work effectively both independently and as part of a collaborative team. Demonstrated initiative, accountability, and a desire to grow and evolve within the role. Proficiency with Microsoft Office, including Excel. Experience with Salesforce and/or AS400 is a plus.
