Assistant Director of Facilities

The Assistant Director of Facilities supports the Director in overseeing the efficient operation and maintenance of facilities across multiple sites. This role plays a key part in ensuring safety, regulatory compliance, preventative maintenance, and day-to-day facilities management across approximately the locations. Key Responsibilities: Act as the backup to the Director of Facilities during absences. Assist with the development and implementation of preventative maintenance schedules for building systems. Ensure all facilities are in compliance with safety standards and regulatory requirements, including fire and building codes. Support the response to, and resolution of, any violations or summonses issued by city or state agencies such as the DOB and FDNY. Maintain up-to-date documentation, including policies, contracts, compliance plans, and facilities systems records. Assist in preparing facilities for inspections by state or city agencies. Ensure accurate data entry into the facilities management database, including monthly reports and system updates. Organize and maintain maintenance agreements and contracts for building systems and repair services. Provide training to site staff on managing and responding to security risks and incidents. Maintain communication with Site Security Leads and manage reporting of security incidents. Oversee existing and future contracted security guard services. Support Site Security Leads in developing and implementing site-specific security plans. Act as a liaison between on-site maintenance personnel and program staff. Conduct facility walkthroughs and site visits as needed. Respond to facilities-related emergencies, including after-hours or weekends. Perform additional duties as assigned. Qualifications: Minimum of 5 years of experience in facilities maintenance, including at least 3 years in a supervisory capacity. Ability to travel regularly across Manhattan, Brooklyn, and the Bronx. Strong verbal and written communication skills. Familiarity with Freshworks or similar service management software. Solid understanding of security and safety principles, procedures, and technologies. Working knowledge of building systems, including HVAC, electrical, and plumbing. Flexibility to respond to emergencies outside of normal working hours, including evenings and weekends. Bilingual skills are a plus. Physical ability to lift up to 50 lbs. Must obtain an F-80 Certificate of Fitness. Valid driver's license required. Proficiency in Microsoft Office Suite. The Phoenix Group Advisors is an equal opportunity employer.
