Position Summary The HR & Payroll Coordinator supports the overall Human Resources department by contributing to a wide range of HR and payroll activities. This position plays a key role in ensuring smooth day‑to‑day operations—hiring, onboarding, offboarding, employee record maintenance, and payroll support. Duties are shared equally between HR and payroll, with workloads flexing as needed. The role reports to the Director of HR and the Director of Payroll Compliance & HRIS. Your Contributions And Responsibilities Human Resources Assist with the hiring process for new employees, which includes confirming offer details, preparing offer letters and employment agreements, and initiating candidate background checks. Ensure new hire technical set‑up, review new hire paperwork for accuracy/completion and confirm employment eligibility using E‑Verify; assist with other onboarding activities as needed. Assist in coordinating the employee off‑boarding process, such as sending last‑day email instructions and submitting notifications of separation to IT. Review and route HR and payroll service tickets submitted through the internal ticketing system (ISM) to the appropriate team member for timely resolution. Provide backup support for maintenance of employee personnel files. May assist with a variety of administrative tasks in support of other functional areas of HR, as needed. Provide backup support for various HR functions as needed to ensure continuity of service. Payroll Set new hires up in HRIS, the time entry program, and third‑party benefit sites. Assist the Payroll Specialist with calculating final checks, including wage and tax adjustments, for separating employees in compliance with applicable laws. Assist with maintaining accurate employee records in HRIS and other systems, including updates related to stipends, job changes, and other employment‑related data. Generate regular and ad hoc payroll reports, as needed. Respond to employee inquiries regarding payroll and/or HR with a focus on accuracy and service. Follow‑up on returned mail to ensure accurate addresses are on record. Assist with various payroll and HR duties and projects as assigned. Your Background And Skills High school diploma plus 1‑2 years of work experience in an office environment, or in a customer‑service position, and/or an appropriate balance of education and work experience. Preferred Bachelor’s degree and experience in human resources or payroll. Excellent verbal and written communication skills. Work accurately with strong attention to detail. Meet frequent strict deadlines and possess a strong sense of urgency. Strong organizational skills. Maintain strict confidentiality of sensitive work‑related information. Strong computer skills, including solid proficiency in the Microsoft Office suite (particularly Excel) and familiarity with a variety of HR software programs (Paychex Flex, Taleo, Workday, and Flock preferred). Availability to work evenings and weekends based on position needs. Weekend work is rare and would primarily apply only in situations with tight turnaround on payroll deadlines. Why work with us?
