Compensation: $2630/hour (based on experience)
Overview
We are seeking a detail-oriented Payroll Coordinator to join a growing organization supporting both weekly and high-volume biweekly payroll operations. This is a full-time, onsite, temp-to-perm opportunity offering long-term growth potential. The ideal candidate brings strong payroll processing experience, compliance knowledge, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
- Process small weekly payroll and high-volume biweekly payroll for 400+ employees, ensuring accuracy and timeliness
- Process additional payrolls as needed, including bonuses and retroactive pay
- Review and audit timesheets for accuracy, PTO usage, overtime compliance, and schedule adherence
- Enter new hires, maintain accrual policies, and process employee changes in the HRIS system
- Maintain accurate employee roster, including per diem staff
- Set up and manage earnings, garnishments, tax withholdings, and benefit deductions
- Prepare and maintain employee wage notices
- Audit and maintain accrual balances for accuracy and policy compliance
- Partner with Finance on general ledger mapping of position codes and funding sources
- Coordinate with HR on employee status changes, including transfers and terminations
- Assign and manage user access for time and attendance systems
- Maintain timeclock systems, badge IDs, and enrollments; troubleshoot issues with vendors and IT
- Calculate and prepare quarterly third-party sick pay and NYS Paid Family Leave premiums
- Process retirement contributions, including biweekly and quarterly submissions
- Respond to employee inquiries regarding pay, deductions, and payroll policies
- Complete employment verifications in compliance with company policies
- Support year-end payroll processing, including W-2 preparation and benefit updates
- Assist with payroll reporting, audits, and ad hoc requests
- Support internal controls related to employee transitions and system access
- Train supervisors and assist in developing payroll procedures and documentation
- Identify process improvements and system efficiencies
- Maintain compliance with all payroll regulations, policies, and training requirements
Qualifications
- Bachelors degree in Business, Finance, HR, or related field preferred
- 35+ years of payroll experience, ideally in a mid-sized or nonprofit organization
- Strong understanding of payroll accounting and benefits deductions
- Knowledge of federal and New York State payroll laws and compliance requirements
- Proficiency in Microsoft Excel and HRIS/payroll systems
- Experience with Paychex FLEX preferred
- Exceptional attention to detail and problem-solving skills
- Ability to manage multiple priorities and meet deadlines
- Strong communication and interpersonal skills
- High level of confidentiality and professionalism
