Position Summary
Arab American Family Services (AAFS) is seeking a highly organized and proactive Event & Grant Compliance Coordinator to oversee agency-wide events and ensure compliance with grant-funded programs. This dual-role position is essential in advancing AAFS' mission by delivering high-quality community engagement initiatives while maintaining strong regulatory and reporting standards.
The ideal candidate is a skilled project manager and communicator with experience in event planning, compliance monitoring, and cross-department collaboration. This role requires strong attention to detail, the ability to manage multiple priorities, and a commitment to culturally responsive service.

Position Summary
Arab American Family Services (AAFS) is seeking a highly organized and proactive Event & Grant Compliance Coordinator to oversee agency-wide events and ensure compliance with grant-funded programs. This dual-role position is essential in advancing AAFS' mission by delivering high-quality community engagement initiatives while maintaining strong regulatory and reporting standards.

Compensation & Benefits
Salary Range: $55,000 - $70,000 annually (commensurate with experience)

- Occasional evenings and weekends required for events
- Plan, coordinate, and execute agency events from concept through completion
- Ensure events align with organizational mission, strategic goals, and approved budgets
- Research, negotiate, and manage vendor contracts (venues, catering, technology, etc.)
- Coordinate speakers, staff, volunteers, and event participants
- Oversee event logistics including scheduling, materials, setup, and on-site operations
- Lead day-of event execution, troubleshoot issues, and ensure safety procedures are followed
- Develop post-event evaluations, collect feedback, and prepare summary reports
- Maintain and update the agency's master event calendar
- Coordinate multimedia documentation (photos/videos) and ensure proper archival
- Prepare monthly and quarterly event reports for leadership and Board review
- Monitor and support compliance with federal, state, and private grant requirements
- Collaborate with program managers to track grant deliverables, outcomes, and timelines
- Maintain accurate and organized records to ensure audit readiness
- Support preparation for audits, site visits, and funder monitoring reviews
- Coordinate internal compliance reviews to ensure adherence to grant terms and regulations
- Partner with Finance and Leadership to ensure timely and accurate fiscal and program reporting
- Develop and distribute templates, tools, and guidance for grant tracking and reporting
- Support data collection, entry, validation, and analysis of program performance metrics
- Identify compliance risks and recommend corrective actions and process improvements
- Maintain strong working relationships with funders, community partners, and stakeholders
- Timely and accurate submission of all grant reports and documentation
- Successful execution of multiple annual events within budget and scope
- Strong audit readiness with minimal or no compliance findings
- Positive feedback from stakeholders, participants, and leadership
- Improved organizational systems for tracking events and grant deliverables
- Bachelor's degree in Nonprofit Management, Public Administration, or a related field preferred
- Minimum of 3 years of experience in event coordination, grant compliance, or project management
- Experience in a nonprofit or community-based organization strongly preferred
- Strong project management and organizational skills with attention to detail
- Ability to exercise independent judgment and manage multiple priorities simultaneously
- Experience with vendor negotiation and contract management
- Knowledge of grant compliance frameworks and reporting requirements
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Familiarity with data tracking systems and reporting tools
- Excellent written and verbal communication skills
- Strong analytical, problem-solving, and decision-making abilities
- Ability to collaborate across teams and work both independently and within a team environment
- Cultural competency and experience working with diverse communities
- Ability to lift and carry up to 25 pounds (event materials and supplies)
- Ability to stand and walk for extended periods during events
- Combination of office-based work and off-site event coordination
