ABOUT AUTOOL USA

Autool USA Inc. is the US subsidiary of Shenzhen Autool Technology Co., Ltd., a leading manufacturer of professional automotive diagnostic and repair equipment. We are actively building our US market operation, headquartered in Hayward, California.

Our products serve professional repair shops, dealership service departments, and fleet operators. We go to market through national and regional distribution partners including Advance Auto Parts, Worldpac, NAPA, and ISN, as well as direct enterprise accounts.

We are a small, fast-moving team. The people who join us now are building something that will matter.

ROLE OVERVIEW

This role owns the daily operational layer of our US office. You will work directly with the CEO and the broader team on administrative, financial, and logistics coordination. This is a hands-on, get-it-done position with real responsibility from day one.

KEY RESPONSIBILITIES

• Handle incoming mail, packages, and office correspondence and route to the appropriate team member

• Support HR administration including onboarding paperwork, employee file maintenance, and basic compliance tracking

• Process invoices, code expenses, and support bookkeeping workflows in Zoho Books

• Track purchase orders and follow up on open items with vendors and freight partners

• Reconcile inbound and outbound shipments against carrier invoices, packing lists, and freight documents

• Coordinate general office and warehouse operations and escalate issues proactively

• Support CEO-to-team communications, task tracking, and follow-through on action items

• Assist with communication and coordination with our China headquarters team

QUALIFICATIONS

REQUIRED

• 1 to 3 years of office administration, bookkeeping, or operations experience

• Proficiency in Excel or Google Sheets

• Strong written and verbal English communication

• Organized, detail-oriented, and able to work independently

• Familiarity with accounting or ERP software (Zoho Books is a plus)

STRONGLY PREFERRED

• Business Mandarin Chinese, spoken and written. This is a meaningful differentiator given daily coordination with China HQ.

• Experience in a product, distribution, import, or export business

• Familiarity with freight documents: bill of lading, commercial invoice, packing list, ACH reconciliation

• Comfortable in a startup environment where the role grows with the company
