New Roots Recruiting is growing quickly, and we're looking for someone who wants to grow with us.

This isn't an ordinary coordinator position. We're looking for someone who enjoys creating systems, organizing chaos, supporting a growing team, and eventually helping lead the day-to-day operations of an expanding business.

What You'll Do

You'll become the operational hub of our business, supporting marketing, sales, recruiting, and company operations.

Marketing & Communications

• Create and distribute monthly industry-specific newsletters for clients and candidates.
• Client newsletters may include spotlight candidates, successful placements, hiring trends, industry news, healthy workplace tips, and recruiting insights.
• Candidate newsletters may include featured jobs, interview tips, career advice, industry updates, and professional development resources.
• Create and schedule daily social media content across multiple platforms.
• Coordinate monthly email campaigns for existing clients, prospective clients, and previous clients.
• Prepare weekly email outreach campaigns to prospective clients.
• Develop marketing materials, interview guides, and candidate/client resources.
• Review, personalize, and manage AI-assisted content to ensure it reflects the New Roots brand.

Sales & Business Development Support

• Respond to LinkedIn inquiries and conversations on behalf of leadership.
• Use good judgment to personalize AI-assisted responses.
• Add new prospects and contacts into the CRM.
• Support Business Development Associates with marketing materials and follow-up.
• Help maintain clean, organized sales pipelines.
• Coordinate networking events, client lunches, happy hours, and business development meetings.

Operations

• Process client agreements and recruiting contracts.
• Maintain CRM and ATS records.
• Process onboarding paperwork and administrative documentation.
• Coordinate calendars, meetings, and scheduling.
• Monitor invoices and assist with operational follow-up.
• Run weekly reports every Thursday for leadership meetings and Friday outreach campaigns.
• Help improve systems, workflows, and internal processes as the company grows.
• Jump in wherever needed to keep the business running smoothly.

Recruiting experience isn't required. We can teach our industry. We're looking for someone with strong organizational skills, initiative, and a desire to grow.

Growth TIMELINE

August

Approximately 10 hours per week

• Learn our systems, workflows, technology, and brand.
• Take ownership of marketing, communications, CRM management, and administrative support.

September

15–20 hours per week

• Begin managing recurring marketing initiatives.
• Support sales operations, recruiting coordination, reporting, and internal workflows.
• Increase ownership of day-to-day operational responsibilities.

October-November

Transition to Full-Time

Assume responsibility for many of the company's daily operational functions, allowing leadership to focus on strategic growth, client relationships, and expansion.

Long-Term Growth

Our vision is for this position to grow into our  Director of Operations .

In this leadership role, you'll oversee the day-to-day operations of New Roots Recruiting, improve company systems, support strategic growth initiatives, and help lead the internal team.

As we continue to expand, our anticipated organizational structure includes:

Director of Operations

• Oversees company operations
• Leads internal systems and process improvement
• Supports executive leadership
• Manages company reporting and operational performance

Executive Coordinator – Business Development

• Supports the sales team
• Manages CRM activity, outreach coordination, proposals, contracts, and client communications

Executive Coordinator – Recruiting

• Supports recruiters
• Manages interview scheduling, candidate communications, onboarding, compliance, and recruiting workflows

The Director of Operations will mentor and oversee both Executive Coordinators, ensuring each department operates efficiently while continuing to improve systems, processes, and the overall client and candidate experience.
