House Manager & Family Assistant

Job Title: House Manager & Family Assistant Location: Newport Coast, CA 92657 Employment Type: Full-time (40 hrs/week) Schedule: Tuesday–Sunday, 8:00 AM – 5:00 PM (with flexibility for weekends and travel) Compensation: $33-38/hour based on experience Start Date: ASAP Requirements: Maintain a smoke-free environment Must have a valid U.S. passport (ability to travel domestically and internationally) Must have a valid driver’s license with a clean driving record Experienced swimmer with ability to supervise children at the pool. As the kids transition to preschool in the fall, we’re looking for someone who can not only assist with meal prep and household tasks but also provide personal support to manage the day-to-day flow of the family. Who You Are / What We’re Looking For: You are a proactive, warm, and adaptable individual who can take initiative while maintaining a professional and positive attitude. You have experience with children, particularly in the early years, and understand the importance of early childhood development, especially for toddlers and early school-age children. You are capable of collaborating on meal prep or cooking independently for the family, ensuring meals are nutritious, easy to prepare, and aligned with the family's preferences. You bring a tech-savvy mindset, are comfortable navigating technology for tasks, driving, and managing family expectations in order to ensure the household runs smoothly through technology. With strong attention to detail, you take pride in supporting home organization and performing daily resets to ensure the household remains tidy and welcoming. You’re highly organized and intuitive, able to anticipate the family’s needs and adapt to their ever-changing schedules. You are comfortable with the responsibility of managing routines and staying on top of daily tasks, especially as the children transition to school. You will collaborate closely with the mom and provide personal assistance where needed, ensuring everything runs smoothly. You are someone who is self-directed, takes ownership of your responsibilities, and is open to feedback and personal growth as you help maintain the flow of a dynamic family household. Key Qualities: Proactive and self-directed Positive Energy: You bring warmth and positivity into the home, whether it’s through engaging with the kids, supporting the family, or helping with household projects Organized & Intuitive: Excellent at keeping routines on track and anticipating the family’s needs Resilient and able to handle constructive feedback with professionalism and a growth mindset Able to read the room and gauge when to step in or take ownership Able to use car navigation and various tech apps Key Responsibilities: Household Management & Organization Create and/or maintain household organization systems Daily resets and prep home for cleaners – game changer daily reset/declutter Light tidying (dishes, surfaces, vacuum high-traffic areas) Seasonal swaps (clothing, décor, bedding) Prepare and coordinate donation drop-offs Help with Amazon returns Event/holiday/guest prep Packing/unpacking for travel Family Support & Child Assistance Weekly pick-ups/drop-offs and support with transport to school and activities (dance, music classes, etc.) as needed Supervise and help with childcare when needed Support any kid-related errands Help with kids morning routine for school Deep Cleaning & Special Projects Organizational projects (toys, gear, closets all over home) Meal Planning & Prep Grocery shopping Align with family preferences and collaborate on cooking or ability to independently cook and prepare healthy meals 3-4x per week Kitchen clean-up and maintenance Laundry & Linen Care Wash/fold/organize laundry Ironing/steaming and special garment care Linen rotation Special care items – vigilant with labels Maintain and tidy laundry area Inventory & Errands Restock pantry/fridge/household supplies Manage running household supply lists Manage household orders and subscriptions (Amazon/Costco/Target) Returns, dry cleaning, gift shopping Mail and package handling Breakdown boxes Vehicle Management Weekly reset and fueling/cleaning vehicles Vendor & Property Oversight Oversee cleaners/contractors/landscapers Research/coordinate repairs and quotes Seasonal property maintenance Manage outdoor spaces Administrative and Personal Assistant Support Travel planning and logistics Calendar management (including household schedules) Receipt/budget tracking Event and appointment coordination Tech savvy – IG/Canva/Social media experience a plus How to Apply If interested, please email me with the following: A brief letter explaining why you believe you would be a great fit for this position.
