Legal Secretary

In this position, you will join the City Attorney's Office for the City of Colorado Springs, providing legal administrative support to the Leadership Team and the Litigation/Employment Division. This role includes performing administrative and technical duties and coordinating programs within the assigned department or division. The position is at-will and reports to the Legal Administrator.

This position is subject to budget required furloughs to be implemented in the 2026 calendar year.

As a Legal Secretary, you will:

  • Provide legal administrative, executive, and customer service support to the City Attorney's Office Leadership Team and the Litigation/Employment Division.
  • Prepare legal documents, pleadings, correspondence, ordinances, resolutions, forms, and special applications, and file pleadings and other documents with courts and administrative agencies.
  • Manage calendars for assigned attorneys and coordinate meetings with other City departments.
  • Coordinate, enter, and track City Council agenda items in Granicus.
  • Provide backup front-desk coverage, answer phones, assist walk-ins, and maintain files, databases, and the case document management system.
  • Proofread documents and handle internal and external records management in compliance with retention and destruction procedures.
  • Compile and track invoices; assist with contracts, agreements, expense reports, P-cards, receipts, and journal entries; and handle travel and event-related expenses for attorneys.
  • Schedule office meetings and events.
  • Other duties as assigned.

We are looking for candidates who possess:

  • Strong command of English grammar, punctuation, spelling, and sentence structure.
  • Expert-level proficiency with Microsoft Office, Adobe Acrobat Pro, ICCES (Integrated Colorado Courts E-Filing System), and SharePoint.
  • Clear and concise verbal and written communication skills.
  • Strong attention to detail and excellent organizational and prioritization abilities.
Minimum Qualifications
  • Equivalent to the completion of twelfth grade (high school diploma or GED)
  • Two years of full-time legal support experience, including experience in the preparation and process of legal documents and records.
  • Possess, or obtain within six months of hire, a Colorado Notary Public certification

Preferred Qualifications

  • College-level coursework in legal studies or a related field
  • Two or more years of litigation support experience
  • Experience working in a law firm and/or government legal environment
  • Experience in the preparation of trial exhibits, legal research, jury instructions, rules of civil procedures, eDiscovery, and civil court processes
  • Experience e-Filing using PACER (Public Access to Court Electronic Records) and JBITS (Judicial Business Integrated with Technology Services)
  • Experience with accounting or invoice processing
