Brief Description Job Summary Under general direction and in compliance with standard operating procedures and policies, provides all department accounting functions to include tracking, auditing, and analyzing revenue, expenditure, and project accounts. Receives and processes payments to include reimbursements, merchandise purchases, and a variety of other payments. Assists with the procurement of materials and supplies, including management of Request for Proposal (RFP) and Invitation for Bid (IFB) processes. Provides general administrative support to the department to include researching policies, generating reports, and scheduling and coordinating meetings. Assists with pre-event prep and on-site event assistance as needed. Serves as secondary for event financial services to include coordinating on-site event revenue collections, supervising event volunteers, and reconciling finances at conclusion of events. Job Duties Essential Functions Process, Collect and Analyze Financial Data: Provide all accounting functions to include tracking, auditing, and analyzing revenue, expenditure, and liability accounts for the Greenville Zoo. Utilize financial software and systems to submit invoices for payment for Zoo divisions. Prepare financial reports as necessary to include producing charts and graphs in order to update applicable personnel of budget standings and event/program performance. Track expense trends as directed. Prepare budget amendments and journal entry requests as necessary. Track and process sales tax, hospitality tax, and admission tax for the Zoo. 45% Assist with Procurement for the Zoo: Serve as the primary point of contact for purchasing activities and ensure all procurement actions follow established City and departmental policies. Prepare and process required purchasing documentation; assist with the development, organization, and submission of IFB and RFP materials; initiate and track requisitions, purchase orders, and FPOs for the department; and monitor vendor accounts to ensure timely and accurate payment processing. Maintain compliance with procurement limits, documentation requirements, and competitive quote procedures while supporting staff in acquiring goods and services efficiently and in alignment with Zoo operational needs. 30% Provide General Administrative Support: Provide general administrative support across Zoo operations as operational needs arise. Prepare materials, assist with revenue processing and reporting, coordinate with Zoo staff and vendors, and support Admissions, Guest Services, and other areas within the Zoo when workload demands additional coverage. Serve as a backup for financial support functions. Ensure accurate handling and timely reporting of revenue and related documentation. 15% Provide Event Support: Provide operational support for Zoo events and facility rentals, including assisting with planning, event setup, onsite logistics oversight, and event breakdown. Assist with coordinating vendors, and volunteers; and manage physical logistics such as tents, tables, equipment, and signage to ensure smooth guest flow and a positive visitor experience. Serve as secondary support for event related financial services, including coordinate onsite revenue collections, supervise event volunteers, and reconcile event finances upon conclusion. 10% Perform other duties as assigned. Qualifications Job Requirements Bachelor’s degree in accounting, financial management, or business management. Over one (1) year of experience in accounting, bookkeeping, general business management or a related field. Any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job may be considered. First Aid, Child and Adult CPR, and AED certification within one (1) year of hire. Preferred Qualifications Previous zoo or attraction experience.
