Job Title: Quality & Business Process Manager

Job Summary:
The Quality & Business Process Manager is responsible for overseeing and optimizing quality management systems, business processes, financial workflows, and cross-functional operational procedures. This position ensures compliance with quality standards and internal requirements while identifying opportunities to improve efficiency, accuracy, data flow, and overall business performance. The role leads internal and third-party audits, manages QMS documentation and metrics, develops policies and procedures, supports customer pricing and billing functions, and provides leadership, training, and process improvement across multiple departments.

Key Responsibilities:

Quality Management & Compliance

• Manage and maintain the company’s Quality Management System (QMS), ensuring processes remain compliant with applicable standards, customer requirements, and organizational objectives.
• Develop, review, update, and implement quality policies, procedures, work instructions, and internal processes.
• Maintain a thorough understanding of key program, customer, regulatory, and quality requirements and ensure systems and account/program setups support accurate and efficient operations.
• Review and analyze existing quality and internal processes to identify inefficiencies, risks, and opportunities for improvement.
• Conduct process analyses, identify critical control points, and implement preventive measures and verification procedures.
• Lead and coordinate annual internal audits and third-party certification/customer audits.
• Manage audit preparation, documentation, findings, corrective actions, and follow-up activities.
• Maintain all QMS-related documentation, records, data, and compliance information.
• Monitor quality and compliance metrics and prepare and present reports to management regarding organizational performance and compliance status.

Business Process Improvement & Operations

• Lead cross-functional projects with department heads to establish standards, resolve operational issues, and implement process improvements.
• Optimize the interaction between quality systems, ERP/accounting systems, internal processes, and operational workflows.
• Identify opportunities to improve data accuracy, workflow efficiency, communication, and operational controls.
• Support the development and implementation of new procedures, systems, and process features designed to improve departmental workflow and overall business performance.
• Review programs, processes, and systems on an ongoing basis to identify opportunities for continuous improvement.
• Collaborate with leadership and department managers to establish consistent processes and ensure effective implementation.
• Provide training and cross-training to team members on key processes, procedures, systems, and quality requirements.

Training & Employee Development

• Partner with the Trainer and department leadership to identify training needs and develop appropriate training interventions.
• Ensure employees are trained on quality policies, procedures, internal processes, and system requirements.
• Provide hands-on training and cross-training for critical departmental functions to improve coverage and operational continuity.
• Monitor adherence to established processes and provide coaching or recommendations when improvements are needed.

Customer Pricing & Financial Operations

• Manage the customer pricing process and ensure pricing information is accurate, properly maintained, and communicated to the appropriate departments.
• Review, code, and post accounts receivable and accounts payable transactions in the ERP/accounting system.
• Accurately review and post cash receipts and customer payments to the appropriate accounts.
• Process credit card and lockbox payments, credits, and account adjustments.
• Research and resolve customer payment, invoice, billing, and account discrepancies.
• Address customer and vendor inquiries and provide timely follow-up regarding account issues.
• Manage and monitor A/P and A/R email communications and ensure inquiries are addressed promptly.
• Assist with weekly check runs and monthly billing preparation.
• Support specialized manual billing processes and ensure billing information is accurate and completed within established deadlines.
• Maintain accurate financial records, spreadsheets, reports, and supporting documentation.
• Reconcile financial reports to source documentation and research and resolve discrepancies.
• Prepare data and variance analyses to support management reporting and decision-making.
• Assist with month-end closing activities and provide support to the Controller.
• Provide customer account status and financial information by collecting, analyzing, interpreting, and reporting relevant data.

Leadership & Cross-Functional Support

• Collaborate with Quality, Operations, Accounting, Sales, Training, and other department leaders to support company-wide goals and objectives.
• Serve as a key resource for resolving process, quality, system, and financial workflow issues.
• Support the Controller and senior leadership with special projects, reporting, audits, process improvements, and operational initiatives.
• Develop and implement standardized procedures that improve accuracy, accountability, and efficiency.
• Maintain confidentiality and exercise sound judgment when handling financial, customer, employee, and company information.
• Perform additional responsibilities and special projects as assigned by management.

Qualifications:

• Bachelor’s degree in Business Administration, Quality Management, Accounting, Finance, Operations Management, or a related field preferred.
• 5+ years of experience in quality management, business operations, accounting, process improvement, or a combination of related areas.
• Experience managing or supporting a Quality Management System (QMS).
• Experience with internal and third-party audits and corrective/preventive action processes.
• Strong understanding of process improvement, quality standards, documentation control, and compliance requirements.
• Working knowledge of accounts receivable, accounts payable, billing, cash applications, and financial reporting.
• Experience working with ERP/accounting systems and Microsoft Excel.
• Strong analytical, organizational, and problem-solving skills.
• Excellent written and verbal communication skills.
• Ability to manage multiple priorities, projects, and deadlines in a fast-paced environment.
• Strong leadership skills with the ability to collaborate effectively across departments.
• High level of attention to detail, accuracy, and accountability.
