The School of Medicine and the Department of Medicine is pleased to announce an opening for a Office Support Assistant IV. This position will provide administrative support to multiple faculty and staff members in the Division of Gastroenterology and Hepatology and Division Director.
The Department of Medicine's mission is to provide the best care to patients; create an excellent educational experience for students, residents, and fellows; and advance the understanding of human illness and disease through creative and collaborative research.
The Department offers outstanding facilities and a dedicated team of physicians, scientists, nurses and staff members committed to advancement in terms of scientific achievement, clinical service and medical education in 10 core divisions.
The Office Support Assistant position in the Division of Gastroenterology works in a team environment to provide administrative support to clinical and research faculty and staff.
Duties include but not limited to:
- Provide daily direct administrative support to the Division Director and Division Administrator of the Division of Gastroenterology & Hepatology, as well as other faculty members, as assigned. This task includes maintaining calendars and scheduling/coordinating meetings (many virtual), answering emails and phones, as requested.
- Tracking clinical data and dispersing a daily report to a set of contacts.
- Gather, organize and summarize clinical data in a weekly report.
- Track and record faculty absences.
- Gather, track and record contracted clinical activity.
- Maintain office supplies and order as needed.
- Submit equipment maintenance work orders as needed.
- Post call schedules in MUHC AMCOM call schedule directory.
- Assist with occasional event planning
- Assist with faculty recruitment.
- Handle general clerical duties, including but not limited to answering divisional phones and routing calls to the appropriate person(s)/area(s) and answering routine office inquiries using own knowledge of office policies and procedures.
- Provide backup support to other members of the administrative team.
- All other duties as assigned.
Salary
Salary Range: $14.09 - $22.73 hourly Grade: GGS - 006 University Title: OFFICE SUPPORT ASSISTANT IV Internal applicants can determine their university title by accessing the Talent Profile tile in myHR.
Shift
Monday - Friday 8:00 a.m. - 5:00 p.m.
Minimum Qualifications
High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary.
