Payroll & Compliance Administrator [On-Site]

Job Title: Payroll & Compliance Administrator Position Summary The Payroll & Compliance Administrator is responsible for supporting payroll processing, payroll tax administration, multi-state jurisdiction compliance, workers' compensation reporting, unemployment administration, and related payroll reporting functions. This role partners closely with Payroll, Accounting, HR, and external vendors to ensure accurate payroll execution, regulatory compliance, and timely management of tax accounts and reporting obligations. This is a blended, operational role with ownership across multiple compliance-heavy functions. Key Responsibilities Support biweekly payroll processing and payroll administration to ensure accuracy and timeliness
Manage payroll tax account setup, maintenance, and closures across multiple jurisdictions
Coordinate multi-state payroll tax filings and respond to agency correspondence
Oversee Workers' Compensation reporting, audits, and related documentation
Support wage and statistical reporting requirements (federal, state, and local)
Handle State disability and Unemployment reporting requirements
Track and manage tax jurisdiction openings and closures driven by employee movement
Review payroll notices, agency mail, penalties, and reconciliations; resolve discrepancies
Partner with Accounting/Accounts Payable on payroll-related reconciliations and payments
Maintain compliance documentation, audit trails, and reporting logs
Support payroll vendor administration, issue resolution, and system updates
Assist with internal and external audit requests and payroll reporting needs Qualifications & Experience 3-5+ years of payroll administration experience
Strong knowledge of multi-state payroll and tax compliance requirements
Experience with payroll tax filings, agency reporting, and account management
Familiarity with accounting or Accounts Payable processes
Experience working with payroll systems/vendors (e.g., Paycor, ADP, Paychex, UKG, etc.)
Strong attention to detail, organization, and problem-solving skills
Ability to manage multiple priorities and meet deadlines in a fast-paced environment Preferred Background Payroll Specialist or Payroll Administrator
Payroll Tax Analyst or Compliance-focused payroll role
HRIS/Payroll Coordinator with exposure to compliance and reporting
