Client Experience Coordinator

This role works out of our Pittsfield, MA office, elevating the level of service advisors deliver through day-to-day client operations and administrative support. What You’ll Do: The Client Experience Coordinator plays an important role in setting the tone for Moneco. This is a great opportunity for someone who enjoys being the face of the office and creating a standout experience for clients and team members. Client Experience Manage the company phone line, directing calls to necessary team members. Elevate the client experience by greeting all visitors. Maintain a high standard for office appearance. Manage client birthday cards, gifts, gift certificates and annual holiday gifts. Office Administration Order all stationery, office supplies and breakroom supplies. Coordinate on behalf of the firm with key vendors. Maintain key office systems, including mail, files, postage, bank/client deposits and calendars. Proactively anticipate office needs, ensuring workspaces are well-maintained, stocked, and operating efficiently. Client Service Administration Assist with account openings, transfers, money movement, and account maintenance. Coordinate workflows to ensure requests are completed accurately and on time. Follow established service workflows and document compliance steps. Participate in team learning sessions and shadowing opportunities. Team Experience Coordinate team lunches, meetings and gatherings. Assist teams with scheduling client appointments. Support updates to Moneco Intranet home page. HR Support Support interview scheduling and onboarding for candidates and new hires. Process and scheduling support during quarterly review process. What We’re Looking For: Excellent verbal and written communication skills Above average skill with Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) is required. Experience with Google Calendar 2 or more years’ experience in an administrative role or office management. Experience with a CRM system is a plus. Experience working in the financial industry is a plus. Excellent attitude and genuine interest in serving clients, internally & externally. Ability to be resourceful and proactive when issues arise and anticipate needs. Superior phone skills- friendly and helpful in all interactions. Excellent organizational and time management skills and ability to multi-task. Willingness to act as an ambassador for the firm to our clients as well as others in the local community.
