Position Overview The Operations Support position coordinates a variety of administrative and operational activities, including maintaining and retrieving information, processing documentation, updating electronic records, supporting the company's ERP system, and distributing information to employees and clients. This role works closely with members of the executive and operations teams and requires strong communication, computer, organizational, and internet research skills. The successful candidate must be able to adapt to shifting priorities while maintaining accuracy and meeting established deadlines. Key Responsibilities Enter and maintain Service Orders, Inspection and Test results, and other operational information. Process and distribute documentation to internal personnel, field employees, and customers. Process New Order Assignments, Technical Reports, Release Notices, Nonconformance Reports, and company and customer timesheets. Generate required reports through the company's ERP system. Maintain and control Quality Records, Standard Operating Procedures, Specifications, Documentation, and Data. Assist with new-hire personnel background verification and related documentation. Answer and direct incoming phone calls to the appropriate operations personnel. Maintain Client Contract files and ensure records are organized, accurate, and current. Support the implementation and administration of the company's Health, Safety and Environmental (HSE) program, including coordination with remote subcontractors. Provide administrative and operational support to executive staff. Perform additional duties as assigned by the VP of Operations. Performance Expectations Success in this position requires the accurate and timely processing of documents, reports, records, and operational data. The Operations Support professional is accountable for maintaining organized and controlled documentation while consistently meeting the timelines established by Operations and the company's clients. Qualified candidates should be highly dependable, detail-oriented, and able to adjust quickly to changing priorities while maintaining schedules and accuracy. Qualifications Education High school diploma or equivalent required. College degree is not required. Experience 3+ years of advanced Microsoft Excel experience required. 3+ years of advanced Microsoft Word experience required. 4+ years of customer service experience preferred. Strong computer and internet research skills. Experience working with ERP systems and document control is beneficial. Military-experienced candidates are encouraged to apply.
