Accounts Payable Administrator

Position Summary: We are seeking a detail-oriented and organized Accounts Payable Administrator to join our growing automotive dealership team. In this role, you will manage the daily processing of all dealership invoices, vendor payments, and expense records. The ideal candidate will have prior accounting experience, a strong understanding of internal controls, and specific proficiency with Dealertrack DMS. Responsibilities:

• Invoice Management: Review, verify, and input all vendor invoices, sublet repairs, and factory statements accurately into Dealertrack DMS.
• Payment Processing: Prepare and process weekly check runs, ACH payments, and wire transfers while ensuring all available discounts are taken.
• Vendor Relations: Reconcile vendor statements, research and resolve billing discrepancies, and maintain professional communication with all suppliers.
• Intercompany & Factory Reconciliations: Reconcile monthly manufacturer parts and vehicle statements, ensuring all factory incentives and debits are accurately recorded.
• Compliance & Reporting: Maintain neat and orderly digital and physical accounting files, prepare 1099 tracking, and assist with month-end closing procedures.

IDEAL CANDIDATE POSSESSES THESE ATTRIBUTES:

• Experience: Minimum of 2–3 years of high-volume Accounts Payable experience (experience within an automotive dealership is highly preferred).
• Software Skills: Hands-on experience navigating and processing within Dealertrack DMS is highly preferred. Proficiency in Microsoft Excel is required.
• Skills: Excellent attention to detail, strong data entry accuracy, and robust problem-solving skills.
• Education: High School Diploma or equivalent required; an Associate’s degree in Accounting or Finance is a plus.
