The Legal Administrative Assistant provides comprehensive administrative support to attorneys and other timekeepers in their assigned practice group, performing a broad range of administrative duties while applying a strong understanding of their practice areas and clients to support an exceptional client experience.
Essential Responsibilities:
- Perform a wide range of routine administrative tasks in support of attorneys and other timekeepers.
- Support new client intake and business development by opening and closing matters and submitting conflicts of interest check requests.
- Process expense reimbursement requests and handle invoice processing in an accurate and timely manner.
- Prepare, revise, and format reports and presentations using Microsoft Office Suite, ensuring adherence to firm branding and style guidelines.
- Coordinate with administrative departments to manage and streamline workflow support for attorneys.
- Draft and prepare routine correspondence, review and route incoming mail, conduct general research, and maintain files and records.
- Provide coverage for incoming telephone calls and ensure proper routing, and follow-up of voicemail messages.
- Manage complex calendars, including prioritizing meetings, resolving scheduling conflicts, and proactively organizing changes to events and appointments.
- Arrange domestic and international travel and prepare, submit, and track related expense reports.
- Collaborate with internal and external resources, as appropriate, to complete assignments and special projects.
- Provide overflow and backup support to the administrative legal support team as needed.

- Maintain confidentiality of all firm and client information.
Required Knowledge, Skills, and Abilities:
- Demonstrated ability to deliver high-quality service and collaborate effectively with diverse individuals at all levels of the firm, as well as with clients and vendors.
- Proactive self-starter with a strong willingness to learn and develop independent critical thinking skills.
- Capable of taking initiative, establishing priorities, and driving projects to successful completion.
- Skilled at managing multiple projects in a deadline-driven environment, with strong organizational abilities.
- Excellent written and verbal communication skills, with the ability to communicate clearly and professionally with attorneys and other legal support staff.
- Exceptional proofreading abilities, with a strong focus on accuracy and attention to detail.
- Able to work effectively both independently and as part of a team to support consistent, efficient workflow processes.
- Proven ability to perform successfully in hybrid, remote, and in-office work environments.
Required Education:
- Any combination of experience, education or training that demonstrates the ability to perform the essential duties of the position.

- Minimum of two (2) years of experience working in an administrative support role in a legal or professional services environment.
- Strong proficiency with Microsoft Office, particularly Word, Excel, and PowerPoint.

Hiring Salary Range: $45,000.00 - $65,000.00
