The right person will find satisfaction in making others feel welcomed and cared for while keeping communication, appointments, information, and follow-up organized behind the scenes.

As our Bilingual Client Experience & Intake Coordinator, you will serve as the first point of contact for our clients and prospective clients. You will help people feel welcomed, heard, and cared for while ensuring they are connected with the right member of our team.

This is more than a traditional receptionist position. You will play an important role in both the client experience and the intake process by managing incoming inquiries, supporting prospective clients, coordinating appointments, and helping our intake team stay organized and responsive.

What You’ll Do

· Answer incoming calls and welcome visitors with warmth, professionalism, and empathy

· Communicate with clients and prospective clients in both English and Spanish

· Listen carefully to callers, identify their needs, and connect them with the appropriate team member

· Gather and accurately enter prospective-client information into our intake system

· Assist with scheduling and confirming intake appointments

· Follow up with prospective clients by phone, text, and email

· Maintain accurate and organized lead and client information

· Open new matters in Filevine and gather initial documents after a client retains the firm

· Support the intake team with document collection, scanning, routing, and administrative follow-up

· Process incoming mail and deliveries

· Help keep the reception area, lobby, and conference rooms organized and welcoming

· Provide general administrative support as needed

· A calm and compassionate approach when working with people who may be injured, anxious, or uncertain

· Dependability, accountability, and strong follow-through

· Confidence using technology and learning new systems

· A collaborative attitude and willingness to support the team wherever needed

Experience in customer service, hospitality, intake, a law firm, a medical office, or another professional office environment is preferred. We will train the right person on our systems, including Lead Docket, Filevine, and others.

Compensation and Benefits

· Annual salary of $38,000–$42,000, based on experience

· Health, dental, and vision insurance

· 401(k) retirement plan

· Generous paid time off

· Monday–Thursday, 8:30 a.m.–5:00 p.m.

· Friday, 8:30 a.m.–2:00 p.m.

· Full-time, on-site position in our Greenville office
