Job Title: SAP Data Entry Clerk

Position Summary

We are seeking a detail-oriented and organized SAP Data Entry Clerk to enter, update, verify, and maintain accurate business records within the SAP system. The ideal candidate will have experience with SAP data entry, document processing, data verification, and general administrative tasks. This position requires strong attention to detail, accuracy, organizational skills, and the ability to meet deadlines in a fast-paced work environment.

Key Responsibilities

• Enter, update, and maintain accurate data in the SAP system.
• Process invoices, purchase orders, sales orders, receipts, and other business documents as assigned.
• Verify data entered into SAP against source documents to ensure accuracy and completeness.
• Maintain and update vendor, customer, material, and other master data records as authorized.
• Review documents for missing information, duplicate entries, and discrepancies.
• Assist with accounts payable and accounts receivable data entry, including invoice information and payment records.
• Enter purchase order details, goods receipts, inventory transactions, and related documentation as required.
• Retrieve information from SAP and prepare basic reports, spreadsheets, and data summaries.
• Maintain organized electronic records and supporting documentation.
• Coordinate with accounting, purchasing, warehouse, sales, and operations teams to resolve data discrepancies.
• Follow company procedures for data entry, document approval, and record retention.
• Protect confidential business and financial information.
• Perform routine data checks and assist with data cleanup to maintain system accuracy.
• Complete assigned tasks within established deadlines and service standards.

SAP System Responsibilities

• Navigate SAP screens and transactions to enter and retrieve information.
• Create and update business documents based on approved source information.
• Verify document numbers, dates, quantities, prices, account codes, and other relevant fields.
• Check transaction status and identify errors or incomplete records.
• Assist with basic SAP reporting and data extraction.
• Follow established workflows and obtain required approvals before processing restricted transactions.
• Report system errors, access issues, and recurring data problems to the appropriate supervisor.

Qualifications

• High school diploma or equivalent required.
• Previous data entry, clerical, administrative, or accounting support experience preferred.
• Experience using SAP is preferred; SAP Business One experience is an advantage.
• Basic understanding of business documents such as invoices, purchase orders, and receiving records.
• Proficiency in Microsoft Excel, Word, and Outlook.
• Strong typing, data entry, and numerical accuracy skills.
• Excellent attention to detail and organizational abilities.
• Ability to manage repetitive tasks while maintaining accuracy.
• Good written and verbal communication skills.
• Ability to handle confidential information responsibly and work independently or as part of a team.

Preferred Skills

• Experience with SAP Business One or another SAP ERP system.
• Familiarity with accounts payable, purchasing, inventory, or warehouse transactions.
• Experience maintaining vendor, customer, or item master records.
• Basic knowledge of accounting and inventory terminology.
• Ability to identify data discrepancies and follow established procedures to resolve them.
