Job Summary The Philanthropy Program Manager is the Liaison to the Women's Auxiliary. This position plays a crucial role in strategizing and implementing initiatives that drive social impact through effective fundraising and relationship management. Supervises, organizes, coordinates, directs, and supervises the day‑to‑day operations of the Women’s Auxiliary for Area Command Angel Tree programs; ensures the accomplishment of the various office tasks in the most efficient and effective manner possible; cross‑trains and supports all office assignments concentrating on targeted deadlines and quality standards; supervises, organizes, and coordinates Women’s Auxiliary volunteer events/projects for a large Auxiliary; advises and directs Auxiliary volunteers in setting up events/projects using volunteers/employees as necessary; serves as liaison to the Women’s Auxiliary supplying research, reports, and materials needed. Schedule/Hours Monday-Friday 40 hours per week (some weekends required) Key Responsibilities Program Responsibilities Program Development: Design and implement philanthropic programs that align with the organization's mission and goals. This includes identifying community needs and developing strategies to address them. Fundraising: Collaborate with the Development Team to develop and execute fundraising strategies to secure donations and grants. This involves building relationships with potential and existing donors, as well as managing fundraising campaigns. Stakeholder Engagement: Collaborate with the Development Team to cultivate and maintain relationships with donors, community partners, and other stakeholders to promote the organization’s mission and enhance its visibility. Monitoring and Evaluation: Assess the effectiveness of philanthropic programs through data collection and analysis, ensuring that objectives are met and reporting outcomes to stakeholders. Team Leadership: Lead and mentor program staff, fostering a collaborative environment that encourages professional development and innovation. Supervisory Responsibilities (35%) Plans, directs, and supervises the work of assigned staff and/or volunteers; trains and instructs employee in the proper methods and procedures; monitors work in progress and upon completion to ensure accuracy, completeness and compliance with established policies and procedures; conducts performance evaluations and provides hiring/firing recommendations. Supervises and assists volunteers in various Women’s Auxiliary and Angel Tree program activities Lead recruitment, screening, training, and onboarding of volunteers for philanthropic programs and events. Create and maintain volunteer training materials and procedural documentation to ensure consistency and quality. Oversee program operations, timelines, and resources to ensure successful execution of events, projects, and ongoing initiatives. Ensure program activities comply with organizational policies, procedures, and best practices. Serves as liaison to the Women’s Auxiliary supplying research, reports, and materials needed; coordinates work with committees and sub-committees and provides information which will be of value to the work of other committees. Maintains open communication withArea Command Leadership to ensure they are informed of problems, special situations, and developments concerning the Women’s Auxiliary. Serves as a liaison to other departments, coordinating Area Command Leadership’s participation with Women’s Auxiliary members in meetings. Receives and screens communications to the Women’s Auxiliary including telephone calls and provides assistance using independent judgment to determine those requiring priority attentions; prioritizes, channels, and facilitates communication from department Directors and Managers through Area Command Leadership. Collaborate with the Development Team to support fundraising strategies connected to philanthropic programs, including events, campaigns, and donor engagement opportunities. Assist in donor stewardship by providing program information, impact data, and reports that support grant proposals, donor communications, and fundraising efforts. Event Coordination and Implementation Responsibilities (20%) Determines and sets dates for events/projects; coordinates details to include decisions on where event/project will be held as well as necessity and timing; determines how many volunteers are needed for each even/project; coordinates, recruits and supervises volunteers and/or employees involved in event/projects. Notifies Auxiliary volunteers of all events/projects, including annual events/projects as well as special events/projects, with mailings, newsletters, specific reminders and phone calls; keeps record of all correspondence and replies by Auxiliary volunteers. Plans, coordinates, and implements various events and projects related to the Women’s Auxiliary; supervises volunteers and participates in the facilitation of such events/projects to ensure successful completion. Coordinate administrative processes for events, meetings, seminars, and special projects, including registrations, payments, travel, and logistics. Maintain accurate records, member lists, financial documentation, and confidential information in accordance with established procedures; Prepare and present program updates, evaluations, and outcomes to leadership, stakeholders, and donors as needed. Monitor program performance and outcomes using data collection, tracking, and analysis to assess effectiveness and ensure objectives are met; Compile and analyze reports, statistics, surveys, and program data to evaluate impact and inform continuous improvement. Office Coordination Responsibilities (10%) Composes, prepares and/or types a wide variety of paperwork including that of a confidential, complex, and/or technical nature such as correspondence, proposals, agreements, programs, newsletters, statistics, budgets, invoices, notices, bulletins, agendas, schedules, minutes, manuals, etc.; records minutes of meetings and distributes the same to all those concerned; ensures the accuracy, completeness, and timeliness of the same. Coordinates, directs and processes a wide range of administrative responsibilities associated with the preparation and conduction of Women’s Auxiliary events/projects, Angel Tree, councils, camps, seminars, and special meetings; prepares and processes forms, agreements, invitations, registrations, schedules, assignments, travel, lodging, and meeting room arrangements; develops and prepares correspondence, reports, programs, booklets, pamphlets, audio‑visual transparencies, graphs, charts, lists, and hand‑outs; may attend conference to provides direction and supervision to ensure that arrangements are in order before, during and after the event. Responds to questions, researches and provides specific and general information based on the knowledge of the department operations; ensures the accuracy, completeness and timeliness of all information provided; maintains the confidential nature of the position. Knowledge of basic accounting or bookkeeping practices and procedures including ability to prepare spreadsheets. Ability to plan, develop, and coordinate programs, meetings, and special events as outlined in this job description. Ability to plan, develop, implement and evaluate a variety of special event strategies in order to determine their effectiveness in achieving short and long‑range goals as it relates to the Women’s Auxiliary. Ability to develop and administer a special events budget. Ability to supervise, lead, motivate, monitor, and evaluate employees and volunteers. Ability to present a positive and professional image of The Salvation Army. Ability to prepare and maintain reports in an accurate, complete, and timely manner. Ability to work independently and with limited supervision. Ability to build and maintain effective working relationships with Auxiliary volunteers, Salvation Army officers, employees, members of advisory organizations, and the community. Ability to apply discretion and independent judgment and exercise confidentiality. Education and Experience Associates degree from an accredited college or university in a related field required with a Bachelor’s degree preferred in project management, event planning, or related field, and Four years progressively responsible experience demonstrating a record of accomplishment in supervising volunteers as well as organizing, coordinating and managing of events/projects, preferable in a non‑profit setting, or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
