About the Department The Office of Clinical Research (OCR) was created to advance the missions of the University of Chicago Biological Sciences Division and the University of Chicago Medical Center by developing and supporting infrastructure components related to clinical and translational research. OCR is divided into two groups: the Institutional Review Board Administrative Staff (IRB) and the Research Operations and Conduct group (ROC). OCR focuses on six core service areas: Human Subject Protection (IRB), Training and Education, Regulatory and Contract Oversight, Quality Assurance/Reporting and Auditing, Financial/Billing Compliance, and Institutional Infrastructure. Job Summary The Clinical Research Financial Analyst supports revenue cycle operations in the Office of Clinical Research, coordinating billing and compliance activities with managerial and executive staff. Working under the Associate Director of Research Billing Compliance, the analyst promotes a culture of financial compliance by ensuring research studies comply with federal, state, and local regulations and guidelines. Responsibilities include supporting research revenue cycle management, processing payments, reviewing billing documentation, and producing financial reporting. Responsibilities Perform all research billing activities such as daily charge review, billing issue resolution, reconciliation, and payment of research accounts. Conduct research billing quality assurance activities, including patient billing audits, study audits, device audits, and validation of data in institutional systems (Epic, IRB system, CTMS, etc.). Assist in developing training and resource materials related to research billing and financial management. Follow standard operating procedures and policies to ensure compliant research billing as mandated by regulatory agencies (FDA, OHRP, OIG, CMS). Understand coding procedures, workflow issues, billing infrastructure, and performance of Clinical Revenue staff. Generate Epic and CTMS reports for analysis, monitoring, and process improvement of research billing metrics. Collaborate with Clinical Trial Financial Group, Hospital Revenue Cycle team, study teams, research subjects, IRB, and other stakeholders to address research billing challenges. Ensure compliance with Medicare’s Clinical Trial Policy, federal regulations, and contractual agreements. Maintain knowledge of Medicare’s Clinical Trial Policy (NCD 310.1) and related guidance. Develop and maintain policies, SOPs, and SOWs related to the clinical research billing process. Stay current on internal processes, Medicare, national and local regulations, guidelines, and policies governing research billing. Prioritize chart documentation and maintain requirements within the department while accurately posting professional fees. Inform administrators, physicians, and coders of regulatory changes. Participate and lead training sessions, audits, and compliance awareness initiatives. Perform other related work as needed. Education Minimum: A college or university degree in a related field. Experience Minimum: 2–5 years of experience in a related discipline. Preferred Qualifications Education: Bachelor’s degree in finance, accounting, business administration, or health information management. Experience: 2–4 years’ experience with healthcare clinical research billing, preferably in an academic medical setting, clinical research management, or health system operations. Experience with Epic Research Billing functions. Experience with a Clinical Trial Management system (CTMS) such as OnCore and financial software or ERP systems. Accounting and finance experience strongly preferred. Competencies: Knowledge of Medicare Clinical Trials Policy and other federal, state, and institutional regulations; expertise in CPT, Modifiers, ICD, and HCPCS coding; strong knowledge of clinical trial contracting, revenue recognition principles, and guidelines (e.g., ICH‑GCP); excellent attention to detail and analytical skills; strong communication and interpersonal skills; expertise in Microsoft Excel; strong investigative and problem‑solving skills.
