Office Associate (Administrative Support & Ministry Operations)

Position Summary

The Office Associate supports the daily administrative, financial, and operational functions of Child Evangelism Fellowship® of Kansas. This position provides administrative support to the State Director and ministry staff, maintains financial and donor records, coordinates office operations, assists with ministry events and communications, and serves as a key point of contact for donors, volunteers, churches, and visitors.

The Office Associate contributes to the mission of Child Evangelism Fellowship by helping ensure that ministry operations are organized, efficient, and conducted with excellence.

Qualifications

Required Qualifications

• Personal relationship with Jesus Christ and agreement with the CEF Statement of Faith.
• High school diploma or equivalent.
• Strong organizational and time-management skills.
• Excellent written and verbal communication skills.
• Attention to detail and accuracy.
• Ability to maintain confidentiality.
• Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint).
• Ability to manage multiple projects and deadlines.
• Basic bookkeeping and financial recordkeeping skills.

Preferred Qualifications

• Associate degree or additional administrative training.
• Experience in a nonprofit, church, ministry, or educational setting.
• Experience with QuickBooks and donor management software.
• Experience supporting events, volunteers, and ministry programs.

Essential Functions

Office Administration

• Manage daily office operations and administrative processes.
• Answer incoming phone calls, emails, and general inquiries.
• Receive and distribute mail and other correspondence.
• Welcome and assist office visitors.
• Maintain office records, files, and databases.
• Schedule meetings, appointments, and ministry activities.
• Prepare correspondence, reports, and ministry documents.

Financial Administration

• Process and record donations accurately.
• Maintain donor records and contribution documentation.
• Enter transactions into accounting software.
• Process invoices and expense reports.
• Assist with monthly financial reporting and reconciliations.
• Manage petty cash according to ministry procedures.

Ministry Support

• Assist with conferences, training events, meetings, and ministry functions.
• Help prepare ministry materials, supplies, and equipment.
• Maintain required reports and records for CEF.
• Support staff, volunteers, and ministry leaders as needed.

Communications

• Proofread ministry correspondence and publications.
• Assist with newsletters, mailings, and donor communications.
• Maintain accurate contact records for donors, churches, and ministry partners.

Physical Requirements

• Ability to sit and work at a computer for extended periods.
• Ability to occasionally lift and carry up to 25 pounds.
• Ability to move materials, supplies, and equipment used in ministry events.
• Ability to travel occasionally for ministry activities as required.
