Senior Federal Proposal Coordinator

This is an opportunity to play a key role in developing complex federal proposals within a collaborative, engineering and professional services environment. You will support the full proposal lifecycle, from solicitation review and content coordination through final submission. The role has a strong focus on federal procurement requirements, compliance, and high-quality technical documentation. You will work closely with proposal leaders, technical teams, external partners, and other stakeholders to keep submissions accurate and on schedule. Your expertise will be especially valuable in preparing SF330 responses and proposals for federal A-E services. This fully remote position offers meaningful responsibility, visibility, and opportunities to contribute to high-impact pursuits. Approximately 10% travel may be required for select meetings and conferences.

• Support the Federal Pursuits and Proposals Manager in coordinating and preparing complex federal proposals, including SF330 submissions and multiple Part II sections.
• Gather, organize, review, and edit proposal content to ensure alignment with solicitation requirements, federal regulations, and client expectations.
• Coordinate internal and external kickoff meetings, document action items, assign or track follow-ups, and monitor deadlines and milestones.
• Manage proposal schedules and workflows across multiple concurrent pursuits, helping ensure all required materials are completed accurately and submitted on time.
• Develop and maintain proposal matrices manually, verifying that submission documents address solicitation requirements and accurately represent project information.
• Participate in Shipley-inspired color team reviews, documenting feedback and coordinating the incorporation of revisions into final proposal drafts.
• Perform technical editing, writing, formatting, and document production, including creating templates and preparing materials for final submission.
• Coordinate the development and editing of multiple SF330 sections according to proposal priorities and requirements.
• Respond to post-submission requests for additional information or clarification and support related follow-up communications.
• Maintain organized proposal libraries, templates, reference materials, and other documentation to improve future proposal development.
• Conduct research, including market, competitive, and risk analysis, to support proposal strategies and content development.
• Facilitate clear communication among proposal teams, technical contributors, leadership, and external partners throughout the pursuit process.

Requirements:

• Bachelor’s degree in Business Administration, Communications, or a related field, or equivalent relevant experience.
• 5–10 years of experience in federal proposal coordination, particularly supporting Architecture & Engineering (A-E) services.
• Demonstrated experience managing multiple SF330 sections, including Part II submissions.
• Strong understanding of federal procurement processes, FAR, DFARS, and agency-specific solicitation requirements.
• Experience with federal contracts involving agencies such as DOD, DOE, GSA, VA, or NASA is preferred.
• Familiarity with Shipley methodology and color team review processes.
• Strong technical writing, editing, proofreading, and document-formatting capabilities.
• Advanced proficiency with Adobe Creative Suite, particularly InDesign.
• Ability to manage several complex proposals simultaneously while maintaining accuracy under tight deadlines.
• Excellent written and verbal communication skills, with the ability to collaborate effectively across internal teams and external stakeholders.
• Strong research capabilities, including market research, competitive analysis, and risk assessment.
• Highly organized, detail-oriented, proactive, and comfortable coordinating complex workflows with limited supervision.
• Ability to work effectively in a fully remote environment and collaborate across distributed teams.
• Ability to develop proposal content independently and responsibly, with strong judgment regarding the appropriate use of AI-assisted tools.
