Division Manager

Description Works in accordance with the USAgain Idea & Purpose and reports directly to the Director of Operations. The Division Manager is responsible for managing the division with quality decision-making, operational efficiency, and regulatory compliance. The Division Manager leads the division team to make a positive impact for PEOPLE, PLANET, and PROFIT. The Division Manager is responsible for managing all activities in the division to follow the USAgain procedures, including the collection of material from TreeMachines and Clothing Dop Spots, the processing of material and shipping of finished products from the warehouse, and managing the people and economy to achieve the budgeted result. The Division Manager also assists in the development and implementation of organizational policies, practices, procedures, and generates reports and records of division activities. Location: San Leandro, CA Annual Salary: $95,000 - 120,000 Annually Supervisory Responsibilities: Lead all employees in the division to meet the organization's expectations for productivity, quality, and goal accomplishment, which may include all or some of the following roles: Assistant Manager, Warehouse Manager, Material Handler, Bin Maintenance, Transportation Manager, Transportation Assistant, Driver, Clothing Drop Spot Manager, Management Trainee, etc. Maintain a sufficient and top-mobilized staff to ensure secure operations and vigorous expansion. Hire, train, motivate, and coach employees as they provide efficient service to customers, assess employee performance, and provide helpful feedback and training opportunities. Prepare and conduct performance evaluations for all employees. Lead the Spearhead Team and achieve the Must Win Battles of the division together with the team. Hold a monthly Division Meeting with all staff. Ensure the health and safety of the Division. Ability to train and develop staff so that each person can reach their full potential. Administrative/Office Role: Complete the weekly status and the monthly status report, and any other production and productivity reports that are required. Maintain the Collection Management System (CMS) with up-to-date information regarding TreeMachines and Clothing Drop Spot sites and their status, routes, emptying results, etc. Follow all federal, state, and local record‑keeping and reporting requirements. Control expenses to stay within the budget. Submit requisition forms for supplies needed for operation, and account for purchases weekly. Review and approve all bills from vendors for payment. Analyze financial information on a weekly and monthly basis to ensure all operations are within the budget. Identify variances between actual and budgeted financial results at the end of each month. Suggest spending improvements that increase profits. Assist the CEO/COO in completing projects as assigned. Participate in all meetings, in‑services, and committees, as designated by management. Warehouse/Logistics Role: Plan efficient routes to service all collection sites. Ensure sufficient emptying of TreeMachine and Clothing Drop Spot sites to prevent overflows, also if it means daily pickup. Provide emergency response same day in case of an overflow, or no later than 24 hours after notification. Achieve the planned driver productivity. Collect the budgeted weekly pounds from each site. Plan and organize the production in the warehouse. Create and maintain systems that increase the efficiency of the operation, including the receiving of material, processing of material into bales and cap sacks according to the specifications of each customer, and loading product on shipping containers and trailers. Achieve the planned warehouse productivity. Carry out regular quality control to detect contamination of the collected material and to evaluate collection areas. Schedule shipments and coordinate the loading with freight forwarders and transport companies. Handle daily communication with brokers and transport companies. Prepare bills of lading, packing lists, and all other necessary shipping documents. Prepare the invoice documentation for the accounting department. Ability to lead from the front line and be hands‑on when needed, meaning drive a truck collecting clothes, make bales, load containers with a forklift, etc. Customer Service Role: Ensure the successful retention of existing sites. Build and maintain relations with the Top 10% active sites and work to save sites from cancellation. Propel innovation in all areas of the operation. Establish and build beneficial relations with city, county, and state governments. Must possess the ability to handle routine problems and to know when to refer problems to the supervisor. Must have computer experience in the Microsoft Office suite, Word/Excel, and PowerPoint among other internal systems. Actively enforces employee confidentiality and rights. Able to take direction from others. Maintain a productive working relationship with others. Education and Experience: Must have a high school diploma or GED; prefer an associate's or bachelor's degree. Prefer a minimum of two (2) years of leadership experience, preferably in managing transportation, production, and sales. Physical Requirements: General office physical effort is required, including sitting and standing, regarding computers, copying documents, distributing documents, and general movement in an office environment. Required manual coordination to operate business equipment. Deadlines and some simultaneous demands can produce stressful situations on occasion are subject to frequent interruptions. Must be able to sit for long periods. Pushing, pulling, lifting, and carrying of objects up to 50 lbs. May be exposed to cleaning chemicals, dust, and foul odors. May work in cramped quarters, climbing, stooping, kneeling, bending, pushing, and reaching, inside and outside of buildings and equipment in various weather conditions. Work environment involves slight physical risks that require following basic safety precautions (wearing safety glasses, rubber gloves, back belts, etc.) Travel: Occasional travel may be required (up to 10%) to attend off‑site meetings, training sessions, or company events. Frequent travel within the local region is required (up to 50%), with occasional overnight stays. Ability to travel domestically up to 25% of the time, including overnight and out-of‑state travel as needed for business purposes. Regular travel between company locations within a 50-mile radius; mileage reimbursement provided.
