Regular Schedule: 9:00 PM - 7:00 AM, Thursday-Saturday
Hiring Range: $22.00/hour
Minimum Age Requirement: 21+

Training Schedule


To ensure a successful transition into the Night Auditor role, the position includes a structured training period during the first two weeks of employment:

• Week 1: Daytime shadow training, 9:00 AM - 5:00 PM
• Week 2: Afternoon/evening shadow training, 2:00 PM - 9:00 PM
• Week 3 and Beyond: Regular Night Auditor schedule, 9:00 PM - 7:00 AM

This phased training approach provides hands-on experience with front desk operations, guest service standards, property systems, and overnight audit procedures before transitioning to independent overnight responsibilities.

Position Summary


The Night Auditor is a dependable, detail-oriented overnight team member responsible for supporting Trailhead Lodge operations during nighttime hours while ensuring accurate daily financial reconciliation, guest safety, and property security. Reporting to the Trailhead Lodge General Manager and Guest Experience Manager, this position plays a key role in maintaining a calm, secure, and guest-ready environment at a year-round hospitality property.


This role is ideal for an individual who is comfortable working independently, exercising sound judgment, and managing overnight responsibilities with professionalism and discretion. While this position does not include managerial or supervisory responsibilities, it serves as the primary overnight point of contact for guests and facilities-related concerns, helping ensure a seamless transition between operating days.

Key Responsibilities

Night Audit & Financial Reconciliation

• Complete nightly audit procedures and daily financial balancing.
• Verify guest folios, charges, payments, and adjustments for accuracy.
• Reconcile front desk, retail, and point-of-sale transactions.
• Generate required reports and ensure accurate end-of-day processing.
• Maintain confidentiality of all financial and guest information.

Next-Day Arrival & Departure Preparation

• Prepare next-day arrival reports, room assignments, and guest notes to support efficient morning check-in operations.
• Review upcoming arrivals for special requests, VIP guests, group reservations, early arrivals, and service considerations.
• Verify departure and early checkout lists and ensure billing accuracy.
• Document and communicate overnight notes, incidents, and operational updates for Guest Experience and Facilities teams.
• Ensure front desk systems are updated and prepared for a smooth transition to morning staff.

Retail & Grab-and-Go Support (Non-Alcoholic)

• Support limited food and beverage services, including lobby offerings, grab-and-go items, and non-alcoholic beverages.
• Process retail and grab-and-go transactions accurately through the POS system.
• Maintain cleanliness, organization, and presentation of retail and food offerings.
• Communicate restocking and supply needs to leadership.

Guest Experience & Front Desk Support

• Serve as the primary overnight guest contact.
• Deliver exceptional guest service while responding to inquiries, requests, and concerns.
• Work collaboratively with Guest Experience Attendants, Housekeeping, Facilities, and Lodge Services teams.
• Follow established procedures and overnight priorities.
• Foster a positive, guest-focused, team-oriented work environment.

Safety & Security

• Conduct routine overnight property walks to monitor safety, cleanliness, and facility conditions.
• Observe and report maintenance, safety, or security concerns to the appropriate department or on-call contact.
• Support overnight response to guest-impacting issues in coordination with Facilities, Guest Services, and on-call leadership.
• Follow all emergency, safety, and incident response procedures.

Role Structure & Accountability

• Work independently overnight using established procedures, training, and leadership guidance.
• Demonstrate reliability, discretion, attention to detail, and sound judgment.
• Serve as a trusted overnight presence supporting guest safety, operational accuracy, and readiness for the next business day.

Guest Experience, Reporting & Collaboration

• Document overnight activity, incidents, and service observations for daytime teams.
• Communicate clearly with leadership regarding operational concerns, guest feedback, and overnight issues.
• Support seamless daily operations by minimizing guest disruption during transitions and unplanned situations.

Interpersonal Contacts

• Collaborate with Guest Experience Attendants, Lodge Services, Housekeeping, Facilities teams, department leaders, and Trailhead Lodge leadership.
• Interface with property management system vendors, technology partners, and operational support teams as needed after hours.

Additional Expectations

• Maintain a calm, professional, and guest-focused presence overnight.
• Follow all procedures, documentation standards, and security protocols.
• Maintain confidentiality of guest, financial, and operational information.
• Demonstrate accountability and professionalism in a low-supervision environment.
• Maintain a clean, professional appearance aligned with Trailhead Lodge standards.
• Remain approachable and situationally aware in guest-facing areas.
• Adapt to evolving operational needs and perform additional duties as assigned.

Required Knowledge, Skills & Experience

• High school diploma or equivalent required.
• Minimum of 2 years of experience in a similar hospitality, front desk, night audit, or overnight operations role.
• Prior hospitality, hotel front desk, or night audit experience preferred.
• Strong attention to detail, accuracy, and follow-through.
• Ability to work independently during overnight hours.
• Excellent communication skills and professional demeanor.
• Strong customer service and problem-solving abilities.

Technical & Computer Skills

• Comfortable working in a fast-paced, multi-system environment while maintaining guest confidentiality and financial accuracy.
• Ability to learn and navigate PMS, POS, reservation, and CRM systems.
• Experience with hotel PMS platforms such as StayNTouch, Cloudbeds, Roommaster, Maestro, Mews, or similar systems preferred.
• Proficient with Microsoft 365 applications including Outlook, Word, Excel, and Teams.

• Shovel snow when needed.
• Walk on steep and uneven terrain.
• Stand and walk for extended periods.
• Conduct indoor and outdoor property inspections during varying weather conditions.
• Assist guests with reasonable physical tasks associated with lodge operations.

Work Location & Schedule

• On-site position at Trailhead Lodge in Bend, Oregon.
• Regular overnight schedule: 9:00 PM - 7:00 AM (4 x 10-hour shifts).
• Schedule includes weekends and holidays.
• Initial training schedule consists of daytime and evening shadow shifts as outlined in the Training Schedule section above.
• Property operates year-round.

Compensation


Starting Pay: $22.00 per hour
