Sr. Convention Services Manager - Banquets & Catering

Omni Oklahoma City Hotel is a 605‑room convention center located in downtown Oklahoma City, offering Mokara Spa, six food & beverage outlets, 76,000 sq ft of meeting space, a retail outlet, fitness center, and rooftop pool. Overview Discuss meeting room arrangements with planners and communicate information through hotel department heads via conference or meeting resume. Essential Job Functions Coordinate all aspects of conferences as assigned by the Director of Catering & Convention Services, including food and beverage requirements, event timing, audio-visual needs, special guest attention, room allocation, rooming lists, amenities, function room setup, group transportation, check-in/out types, special meal requests, arrival/departure manifests, bag pulls, luggage storage, complimentary rooms, billing instructions, authorized signatures, room deliveries, phone and internet needs, box storage, power requirements, group hospitality office/registration desk, business center, key requirements, food and beverage outlet usage, entertainment, leisure activities, décor (floral), etc. Prepare resumes for groups ten days prior to arrival and review details in weekly staff meetings. Adhere to the Catering and Conference Services Department’s standard operating procedures. Help establish and maintain the hotel’s marketplace position as the city’s most elite venue. Ensure successful site inspections and client visits by careful planning and accurate communication. Proactively achieve high Medallia scores by building rapport, preparing accurately, and being visible during conferences. Generate high revenue from contracted rooms, function space, and catered events. Collect all advance deposits as contracted. Conduct pre- & post-conference meetings when agreeable with the client. Ensure all client accounts are serviced per hotel standards. Communicate banquet requests to relevant departments. Ensure banquet event orders are accurate and sent to departments ten days prior to event start. Adhere to sales and marketing selling policies. Remain available to hotel managers while on property. Identify departmental revenue and upsell opportunities. Participate in all regular operational meetings. During conferences, confirm arrangements meet specifications. After conferences, review final bills with the planner. Process group commissions and rebates after events. Perform other duties assigned by the Director of Catering & Convention Services. Qualifications Flexible work hours, including weekends and holidays for a 24‑hour operation. Excellent verbal, written, and non‑verbal communication skills. Minimum 3 years experience in catering sales or conference services at an upscale hotel or resort. Professional appearance and presentation. Strong computer skills with Microsoft Word, Excel, Outlook, and management systems such as Delphi, Oracle, Salesforce, etc. Physical Requirements Move, bend, lift, carry, push, pull, and place objects up to 40 pounds without assistance. Stand, walk, or sit for an extended period or entire shift. Perform repetitive motions, including frequent telephone and computer use. Working Environment Interior and exterior of Sales Office. Occasional exterior hotel with exposure to weather conditions. Tools & Equipment Desktop computer with operating systems and applications such as Opera, Delphi.fdc, Salesforce, Meeting Broker, Oracle, Birchstreet, Kronos, and Microsoft Office.
