Administrator II, Accounts Payable

Job Purpose This position is responsible for ensuring the EnergyCAP process runs smoothly, that backup and/or supporting workers are trained and able to assist during peak workload periods or as needed, and that direct payments are processed. The role communicates with internal and external contacts to implement processes efficiently and resolve a variety of issues such as software errors, upload issues, invoice and payment problems, etc. Essential Functions Monitors and coordinates the EnergyCAP utility bill management software system and processes. Acquiring information about utility meter identities from all Lone Star College campuses. Creating and monitoring GLmeter identities in EnergyCAP software. Uploading cXML batches into iStar and ensuring EnergyCAP is interfacing correctly with the iStar billing system. Planning processes, workflow, and timelines to ensure EnergyCAP interfacing is accurate and efficient. Strategizes and plans the optimum time to start the daily EnergyCAP processes and direct pay processes, ensuring timely processing of utility invoices by preparing meters, scanning invoices, and ensuring bills for all campuses arrive on time. Provides timely and accurate information for payment and utility cost data. Coaches, develops, and schedules backup staff as needed. Performs a variety of general Accounts Payable functions, such as reviewing invoice lists, processing direct pay invoices, researching and resolving budget exceptions, and reviewing exception reporting, kick‑out logs, and Bill Capture Audits. Maintains accurate documentation and record keeping for AP items including deleted vouchers, after‑the‑facts, and voucher lists. Communicates with internal and external contacts to resolve issues, including utility companies, vendors, EnergyCAP, and LSC employees across departments. Executes other reasonable related duties as assigned. Knowledge, Skills, and Abilities Basic understanding of Accounting and Accounts Payable principles and processes. Understanding of or ability to quickly learn 3rd party software that interfaces with iStar. Excellent interpersonal and communication skills, both verbal and written. Attention to detail and ability to handle multiple tasks simultaneously. Deadline‑oriented with initiative and analytical skills. Proficient in PCs and related software (Microsoft Office: Word, Excel, and Access). Physical Abilities The work is sedentary. The employee sits comfortably to do the work. Walking, standing, bending, carrying light items such as papers, books, or small parts, and driving an automobile may also be required. No special physical demands are required to perform the work. Work Schedule and Conditions Equipment used includes a PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone, and other general office equipment. Interface with internal and external contacts as needed to carry out the functions of the position. Work is performed in a climate‑controlled office with minimal exposure to safety hazards. Required Qualifications High school diploma or GED and at least 3 years of experience, or an equivalent combination of education and experience. Preferred Qualifications Associate degree or higher.
