Machining Fulfillment Coordinator (Shipping & Receiving)

A day in this role : You start by checking overnight carrier updates and the production board. A hot job finished late yesterday, so you confirm quantities, print packing documents, and stage the pallets. While carriers are booked, you negotiate an earlier pickup. Mid-morning, an inbound delivery arrives—you verify counts against the PO, inspect for damage, and notify purchasing and production. Throughout the day, you update the CSR and customers with tracking, clarify a special packaging request, and flag a potential delay early so the team can re-sequence work. Before you leave, inventory movements are recorded, audits are tidy, and tomorrow’s shipments are queued.

Role Overview

Own the flow of inbound materials and outbound product in a fast-moving machine shop while serving as the communication bridge between the shop floor, our Customer Service Representative (CSR), and customers. Success means accurate, on-time deliveries and clear, proactive updates.

Core Responsibilities Shipping & Receiving

• Pick, pack, and ship finished parts to meet customer specifications and internal quality standards.
• Receive materials; confirm accuracy, check for damage, and coordinate with purchasing and production.
• Keep precise shipment records, receiving logs, and inventory transactions.
• Safely operate forklifts, pallet jacks, and other material-handling equipment (as applicable).
• Schedule pickups with carriers and troubleshoot transit or documentation issues.

Planning & Coordination

• Sequence outbound work based on production commitments and customer need-by dates.
• Partner with production supervisors to confirm completion status and readiness to ship.
• Monitor order progression and surface risks early; arrange expedites or special delivery solutions when required.

Customer Collaboration

• Work closely with the CSR to ensure order details are accurate and current.
• Provide live updates on order status, ship dates, tracking, and any delays.
• Clarify packaging, labeling, and delivery requirements with customers.
• Help resolve issues involving shortages, shipping discrepancies, or delivery concerns.

Documentation & Compliance

• Generate paperwork such as packing slips, bills of lading, and certificates (as needed).
• Follow company procedures, customer specifications, and safety rules.
• Maintain organized, audit-ready records for full traceability.

Qualifications

• High school diploma or equivalent required.
• 2+ years in shipping/receiving, logistics, or manufacturing preferred.
• Experience in a machine shop or metal fabrication environment is a strong plus.
• Familiarity with ERP/MRP platforms and shipping software preferred.
• Forklift certification (or willingness to obtain).
