Management and Program Analyst

Job Title

Duties include, but are not limited to:

• Independently communicates with supervisor to obtain necessary concurrences and based on the incumbent's review of the clinic data, makes recommendations to the supervisor for appropriate action on the request. Independently prepares miscellaneous Light Electronic Action Framework (LEAF) system request forms for appropriate routing and supervisory approval.
• Researches and analyzes straightforward problems, issues, or program requirements. Researches and analyzes unstable or uncommon administrative issues. Determines pertinent issues and collects relevant information from a variety of sources as it pertains to staff.
• Remains aware of planned and unplanned absences of the staff for timekeeping and reporting purposes to Clinic Practice Management.
• Manages the care line equipment system and responsible for completing the Enterprise Equipment Request portal, Strategic Equipment Planning Guide, and following through until delivery of equipment. Services as Control Point Official, maintaining Fund Control Points (FCP); Timekeeper; Personnel Clerk; safety officer, Records Liaison, TMS Administrator and Automated Data Processing Application Coordinator (ADPAC) for the REC Service.
• Requests and tracks work orders through support services such as Environmental Management Service (EMS), warehouse, and SPD. Manages stock of clinical and administrative supplies and reorders as needed for all sections.
• Manages administrative files for section. Works with credentialing as needed to ascertain required scope of practice and required documentation is current for all clinicians to maintain current OPPE folders. Maintains updated, orderly and thorough employee folders for all rehab staff.
• Develops and maintains supplemental reports, studies, investigations, audits, or additional data to ensure that appropriate facts are presented to management for future evaluation and necessary management action.
• Care line point of contact for Personal Identify Verification (PIV) needs.
• Assisting Academic Affairs in on-boarding of therapy students, medical students, and medical residents.
• Assists the REC Service in gathering information and preparing reports or requests associated with budget analysis, space planning, purchase and replacement of equipment/supplies, staffing, policies, and continuing education and accreditation requirements.
• Utilizes a variety of software applications on a regular and reoccurring basis to analyze qualitative and quantitative data for the REC
• Independently applies analytical and evaluative methods and techniques to issues or studies concerning the efficiency and effectiveness of REC program operations
• Directly responsible for collecting and analyzing data for reports and ensuring quality, accuracy, and timely submission of reports such as HBPC, VERA, and program cost reports
• Performs a variety of administrative and clerical tasks associated with maintaining and supporting the work performed within the REC. This includes a variety of clerical tasks including but not limited to the creation of agendas, gathering and assembling materials Dayton VAMC, and other information for use at meetings and conferences, completion of memos, reports, meeting minutes, maintaining the office calendar, scheduling and exercising administrative control over the staff appointments, PowerPoint presentations, filing, data collection and collating, providing responses for Central Office (CO) report and spreadsheet creation and maintenance.
• Maintains a computerized budget/accounting system that is extensive and complicated for obligation, control, and projection of funding accounts. Additionally, establishes obligation records for Fiscal Service.
