Supports front‑office operations and patient access for the Rehabilitation Services department. Responsibilities Act as a receptionist, greeting staff and customers and directing them to the appropriate personnel. Answer department telephone calls courteously and communicate messages clearly to the relevant staff. Maintain a customer‑oriented approach and work effectively with all levels of staff and patients. Take on special projects and utilize critical thinking skills to prioritize and complete work efficiently as needs change. Coordinate all clerical work for the department with supervisors. Coordinate with the Senior/Clinical Coordinator or manager to process invoices or purchase requests. Maintain appropriate levels of departmental supplies. Independently manage the Department Appointment Report (DAR) in EPIC. Schedule, confirm, and reschedule patient appointments for Rehabilitation Services and satellite locations. Complete required questionnaires and coordinate with other departments as needed. Schedule new evaluations, follow‑ups, cancellations, rescheduling, and manage the wait list. Ensure patients are arrived into the workflow efficiently. Complete end‑of‑day processing per EPIC policy. Follow Rehabilitation Services and CDH policy and procedure for scheduling new evaluations. Identify patient MRN accurately to avoid duplicate records. Update patient demographic, insurance, and billing information. Access the Unscheduled Orders Work Queue daily, meeting the expectation of initial phone call within 24‑48 hours. Monitor assigned Rehabilitation Work Queues based on registration. Apply scheduling guidelines and maximize therapist productivity. Collect cash and credit card payments, ensuring documentation meets current standards. Perform daily reconciliation and balancing. Manage therapist monthly schedules/templates. Schedule meetings and huddles as requested by therapists or senior staff. Block PTO and sick time with the senior staff. Make confirmation calls for new evaluations and create shadow charts. Complete order entry and evaluation orders. Consult with technicians for interpretative purposes when appropriate. Assist patients in obtaining orders not in EPIC. Maintain a thorough understanding of the scanning process for registration and clinical documents. Manage Rehabilitation Work Queue 3111 to monitor unauthorized visits and ensure timely authorization. Assist in clinic setup/cleanup, including hot pack/cold pack machine cleaning, temperature logs, and eye wash log. Assist managers or senior staff in monitoring charges via EPIC Work Queues and independently correct pending items. Fax documentation to insurance companies or physician offices for authorization and plan of care signatures. Collaborate with Coding, Patient Accounts, and Financial Clearance Center to ensure accurate patient account registration for timely billing. Qualifications Two years' experience in a front‑office role with computer proficiency. High school graduate. Successful completion of EPIC training for scheduling and registration.
