Studio Manager - San Diego

What You’ll Be Doing As a Studio Manager, you will ensure the overall success of the Film and Media program. Client Management Develop and maintain excellent relationships with regional center personnel, individual service coordinators, client care providers, and other program managers to generate program referrals, determine program fit, and ensure clients receive the highest level of care. Refer questions to the Film and Media Director or other departments (Finance, HR, etc.) as necessary. Client Referrals Answer questions and provide information about the program, including conducting studio tours as requested. Organize and conduct outreach and marketing efforts at vendor fairs, parent group meetings, and other appropriate venues. Enter referrals directly into the client referral system. Provide information to the Referral department for referrals made directly to the Studio Manager. Client Intake Determine eligibility and fit based on capacity and individual goals. Review client collateral and make a final decision, with advice from the Director if needed. Coordinate with the Referral Department to place eligible clients on a waiting list when necessary. Schedule and hold initial Individual Service Plans, ensuring goals are communicated to instructors before clients start. Ensure clients and care providers understand program expectations. Enter authorization data into the case management system and communicate status to Finance. Client Experience Communicate promptly with care providers and clients regarding any concerns. Schedule and hold semi‑annual, annual ISP meetings and interdisciplinary team meetings as needed. Provide mentorship and intervene when client behavioral issues arise, creating behavior management plans as needed. Review and submit Serious Incident Reports and advise staff on mandated reporting duties. Monitor client attendance weekly and address attendance issues. Ensure weekly completion of client case notes. Conduct quality checks and observations to ensure quality of service delivery. Develop communication avenues for client updates such as email and newsletters. Coordinate with Employment Services for placement of clients into external jobs or volunteer opportunities. Schedule staff to meet program design ratios. Program Management Reporting Gather and submit monthly safety drill reports to the regional safety coordinator. Send daily/weekly data reports to the Workforce Manager. Provide audit documents to the Quality Assurance & Compliance Manager. Submit daily/weekly TeamBridge schedules. Submit monthly program billing to Finance by the due date. Provide annual budget information for planning. Budget Manage program operations within the established annual budget. Participate in annual budget planning and advocate for program needs. Reconcile monthly credit card statements and submit receipts to Finance. Maintain accurate service, authorization, and billing data in the case management system. Identify, recoup, and close any outstanding aging accounts. Consult with the Director to secure major filmmaking equipment. Program Compliance Comply with all Quality Assurance activities including safety drills and reporting. Manage regional center and external audits, providing relevant information. Complete all mandatory trainings. Coaching and Mentoring Conduct interviews following guidelines and determine final staff selections. Direct and supervise daily activities of direct reports. Manage staff schedules to ensure all clients are served. Coordinate projects and assignments tailored to clients' needs. Ensure new staff are trained and mentored. Ensure staff clock in/out, take breaks, and approve timecards. Create a cooperative environment among staff and clients. Hold regular staff meetings and safety drills. Approve mileage and expense reimbursement requests. Consult with HR on investigations and make final corrective action decisions. Perform additional duties as assigned. What We’re Looking For We are looking for someone who is compassionate, dependable, and ready to make a positive impact. Qualifications Education High school diploma, or equivalent or GED Experience 5 or more years’ experience supervising staff and managing a program or area Experience with instructional strategies and developing natural supports, including state‑of‑the‑art techniques. Experience working with individuals with a variety of disabilities (Preferred). Experience working in film or media (Preferred) Experience working in a non‑profit sector (Preferred) Experience working in the field of IDD (Preferred) Other Requirements 21 years of age or older A valid driver’s license, reliable transportation, and an acceptable driving record are required. This role requires travel within the region where services are provided. Final candidates must successfully complete a background check. Physical Demands & Work Environment This position requires the employee to regularly stand, walk, sit, talk and hear. The employee must be capable of writing, using a computer keyboard, telephone, and related office equipment. Ability to lift 10 lbs. required. The employee will experience normal office conditions with a well‑lit work area and minor noise from standard office equipment.
