CONTROLLER

Position Summary We are seeking an experienced, highly organized, and hands-on Controller to oversee the day-to-day accounting and financial operations of the company. This role is designed for a strong financial leader who can support an approximately $8 million business as it continues to scale. The Controller will be expected to understand what is happening financially throughout the business, maintain accurate books, oversee accounts receivable and payable, manage cash flow, reconcile accounts, maintain inventory accounting, monitor margins, oversee commissions, and provide leadership with reliable financial information for decision-making. The ideal candidate is detail-oriented, accountable, proactive, and comfortable working in a fast-paced distribution and sales environment. This person should be capable of identifying problems before they become larger financial issues and developing systems and controls that improve accuracy, profitability, accountability, and scalability.

The right person will ask questions when something does not make sense, dig into discrepancies, improve inefficient processes, and make sure leadership always has an accurate understanding of the company's financial position. This role requires someone who can see both the details and the bigger financial picture and who is excited to help build the financial infrastructure needed for continued growth.

Accounting & Financial Management

• Oversee the company's day-to-day accounting operations.

• Maintain accurate and timely financial records and manage the general ledger. • Complete and/or oversee bank and credit card reconciliations.

• Maintain accurate balance sheet accounts and supporting schedules.

• Oversee month-end and year-end closing procedures.

• Prepare monthly financial statements and management reports.

• Review the Profit & Loss Statement, Balance Sheet, and Cash Flow Statement for accuracy.

• Identify unusual transactions, discrepancies, or accounting errors and resolve them promptly.

• Maintain organized documentation and accounting records.

Accounts Receivable & Collections

• Oversee customer invoicing and accounts receivable.

• Monitor aging reports and outstanding customer balances.

• Establish and enforce consistent collection procedures.

• Follow up on delinquent accounts and ensure customer payments are properly applied.

• Reconcile customer accounts when discrepancies occur.

• Work with sales representatives and management regarding past-due accounts.

• Provide leadership with regular reporting on outstanding receivables and collection risks.

Accounts Payable & Vendor Management

• Oversee accounts payable and vendor bills.

• Verify invoices against purchase orders, receiving records, and supporting documentation.

• Schedule vendor payments based on due dates and available cash.

• Reconcile vendor statements and investigate duplicate charges, incorrect pricing, credits, and discrepancies.

• Maintain accurate vendor records and ensure available vendor credits are tracked and applied.

Cash Flow & Financial Planning

• Maintain visibility into current and projected cash flow.

• Prepare short-term cash flow forecasts.

• Monitor upcoming receivables, payables, payroll, taxes, debt payments, and major purchases.

• Identify potential cash shortages or financial concerns in advance.

• Assist leadership with budgeting and financial forecasting.

• Compare actual performance against budgets, forecasts, and expectations.

Inventory & Cost Accounting

• Work closely with Operations and Warehouse leadership to maintain accurate inventory values.

• Reconcile inventory records between accounting and operational systems. • Investigate inventory discrepancies and unusual adjustments.

• Monitor inventory purchases, landed costs, product costs, and margins.

• Help identify slow-moving, obsolete, or overstocked inventory.

• Verify inventory transactions are properly reflected in the financial statements.

• Assist with physical inventory counts and inventory reconciliation.

Sales, Margins & Commissions

• Review sales and gross profit reporting for accuracy.

• Monitor margins by product, category, salesperson, and other relevant business segments.

• Verify commission calculations before payroll or commission payments are processed.

• Confirm commissions are based on eligible sales and company commission policies.

• Maintain accurate commission records and supporting documentation.

• Identify unusually low-margin or potentially unprofitable transactions.

Payroll & Employee-Related Accounting

• Coordinate with payroll providers and management to ensure accurate payroll processing.

• Review payroll reports for accuracy

• Track commissions, bonuses, deductions, reimbursements, and other compensation.

• Maintain accurate payroll-related accounting records.

• Ensure payroll liabilities are properly recorded and reconciled.

Tax & Compliance

• Coordinate sales tax reporting and payments and maintain accurate sales tax records.

• Assist with payroll tax and other regulatory reporting.

• Coordinate with outside CPAs and tax professionals.

• Prepare schedules and documentation for year-end tax preparation.

• Assist with audits, insurance reviews, lender requests, and other financial reporting requirements.

Financial Controls & Process Improvement

• Develop and maintain strong internal financial controls.

• Identify weaknesses in accounting procedures and recommend improvements.

• Establish processes that reduce errors, duplicate payments, missed collections, and financial leakage.

• Maintain appropriate separation of duties and approval procedures.

• Improve integration and accuracy between accounting, ERP, inventory, purchasing, and sales systems.

• Document accounting procedures and ensure processes are consistently followed.

Management Reporting

• Monthly Profit & Loss Statement and Balance Sheet.

• Cash Flow Statement and cash flow forecast.

• Accounts Receivable and Accounts Payable Aging.

• Inventory valuation and gross margin reporting.

• Sales performance and commission reporting.

• Budget vs. actual reporting.

• Key financial risks, discrepancies, and corrective actions requiring management attention.

Required Qualifications

• Strong accounting and financial management experience.

• Advanced understanding of financial statements and general ledger accounting.

• Experience with accounts receivable, accounts payable, reconciliations, and month-end close.

• Strong understanding of cash flow management, budgeting, and forecasting.

• Strong Microsoft Excel or Google Sheets skills.

• Experience with QuickBooks Online or comparable accounting software.

• Excellent attention to detail and ability to independently research discrepancies.

• Strong organizational, time-management, written, and verbal communication skills.

• Ability to handle confidential financial information with discretion

Preferred Qualifications

• Previous Controller, Assistant Controller, Senior Accountant, or Accounting Manager experience.

• Experience in wholesale distribution, manufacturing, construction supply, retail, or another inventory-heavy business.

• Experience with ERP systems, inventory accounting, cost accounting, and sales commissions.

• Experience improving accounting processes and internal controls.

• Bachelor's degree in Accounting, Finance, Business Administration, or a related field.

• CPA or CMA is beneficial but not required depending on experience.

• Experience helping a growing company build financial systems that can support significant revenue growth.
