Location Our campus is located at 1601 Maple Street, Carrollton, GA 30118. Faculty and staff members are expected to be physically present on campus as needed to support the in-person educational experience and on-campus vitality at the University of West Georgia. Depending upon teaching assignments and student demand, this could include the Carrollton or Newnan campuses. Job Summary The Coordinator of Alumni and Constituent Engagement is responsible for providing administrative, operational, and programmatic support for the Alumni and Constituent Engagement team. This position supports the Assistant Director of Alumni Engagement and Events, the Assistant Director of Alumni Network Engagement, and the Executive Director of Alumni and Constituent Engagement in executing departmental priorities and initiatives. Duties include assisting with event logistics and coordination, financial and administrative support, constituent customer service, front office operations, data management, and general assistance with alumni engagement programs and events. The Coordinator must be highly organized, customer service-oriented, and capable of managing multiple responsibilities simultaneously while supporting a fast-paced engagement and events calendar. Responsibilities
- Provides comprehensive event support for alumni and constituent engagement programs, events, meetings, and initiatives. Assists with event logistics including room reservations, catering requests, facility coordination, registration page creation and management, guest communications, event supply preparation, and day-of event operations. Supports event setup, check-in, hospitality, and post-event follow-up activities. Maintains event calendars and assists with coordination of departmental schedules and planning timelines.
- Provides administrative and operational support for the Alumni and Constituent Engagement team. Manages front office functions including answering phones, responding to general inquiries, welcoming visitors, assisting with monitoring shared email accounts, and directing constituent requests to appropriate staff members. Assists with preparation of meeting materials, correspondence, reports, presentations, agendas, and departmental communications. Maintains departmental records, files, and documentation to support ongoing engagement efforts. Works closely with UCM colleagues and assistant director of alumni and constituent engagement to manage alumni communications across digital mediums to include emails, enewsletters, and social media.
- Coordinates financial and business processes for the department in conjunction with University Advancement support staff. Processes invoices, payment requests, and other transactions in accordance with university and foundation procedures. Assists with maintaining event budgets and expense tracking documentation in collaboration with department staff. Serves as a liaison with campus business offices, vendors, and partners to ensure timely processing of payments and financial records.
- Supports alumni and constituent engagement initiatives through data management, reporting, and project coordination. Assists with maintaining accurate constituent records, event attendance tracking, volunteer information, and engagement metrics. Provides logistical and administrative support for alumni board activities, chapter and network initiatives, volunteer programs, student engagement efforts, and other departmental priorities. Collaborates with team members and campus partners to ensure successful execution of engagement strategies and programs. Other duties as assigned.

Excellent interpersonal, oral and written communication skills. Discretion, attention to detail and ability to manage multiple responsibilities in a fast-paced office environment is required. Excellent spreadsheet skills and experience with Microsoft Office products.
