Administrative Officer 2

Job Summary The Administrative Officer 2 (AO2) plays a critical role in providing administrative, programmatic, and fiscal support for the daily operations of Home Care Services (HCS), including support for hospice volunteer and bereavement programs. The AO2 is an experienced professional who provides general administrative and staff support across a variety of essential Home Care Services activities. Primary responsibilities include, but are not limited to, purchasing office and medical supplies, managing and stocking supply areas, processing medication orders for delivery, tracking expenditures, performing monthly mileage audits, coordinating events, supporting technology needs, and providing customer service and technical support. Additional responsibilities can include expense reporting, scheduling support, office organization/upkeep, human resources support, graphic design, document management, and written and verbal communications. The AO2 also serves as the primary backup to the Administrative Officer 3 (AO3). The AO2 is a reliable, organized, proactive, and analytical individual who works effectively both independently and collaboratively. This position serves as a key administrative contact for supervisors, clinicians, staff, volunteers, and others within the health system. The incumbent utilizes sound judgment to prioritize tasks, respond to operational needs, and communicate effectively and professionally with individuals from diverse backgrounds and cultures. The incumbent evaluates situations, adjusts priorities, and responds flexibly to requests requiring problem solving and support. This position requires knowledge of and the ability to apply policies and procedures related to travel, reimbursements, purchasing, and other administrative functions. The AO2 exercises discretion and diplomacy in handling sensitive and confidential information. This is an in-office position, five days a week. Minimum Qualifications Minimum three (3) years of administrative experience Experience supporting a diverse group of stakeholders including leadership, administration, clinicians, patients, and the public Experience establishing goals and workload priorities and organizing and coordinating multiple complex projects and tasks with competing deadlines Experience using interpersonal, customer service, and communication skills to interact and communicate in-person, over the phone, through electronic e-mail, etc., and to positively represent Home Care Services to all Seasoned experience using Microsoft Office Suite, including Word, Excel, Outlook Analytical skills to anticipate/identify problems, to research and interpret data, to present analysis, and to develop solutions for resolution and implementation Professional skills to handle sensitive or difficult situations diplomatically, and to work with constituents from diverse backgrounds and perspectives Knowledge of all pertinent laws, regulations, and guidelines governing medical records; confidentiality, privacy, and provision to others, including HIPAA Ability to read, write, speak, and understand the English language Excellent written and verbal communications skills Ability to remain calm under pressure Effective interpersonal skills Demonstrates accountability and professionalism Adapts to change in a positive, professional, and productive manner Knowledge of performance improvement and evidence-based practice Basic computer skills Ability to use discretion and maintain confidentiality Has physical strength to assist in moving, transferring, and/or lifting supplies and equipment (physically able to lift at least 25 pounds, physically able to push/pull up to 100 pounds) Has manual dexterity to be able to hold and carry supplies and equipment in various size packaging to place in shelves and bins at various heights Sees well enough to read documents & instructions Uses fine motor dexterity to operate equipment, computers, keyboard, and mouse Preferred Qualifications Bachelor's degree and/ or equivalent experience, preferably in business or related field UC Davis Health experience Previous experience working in an academic/healthcare setting Home health and/or hospice experience Experience or familiarity with medical supplies, instrumentation, equipment, and terminology Knowledge of UC Davis Health system, structure, and policies and procedures Knowledge of common University-specific computer application programs (Lawson, Epic, Medline, AggieTravel/AggieExpense, Ecotime, Check Requests, Taylor Printing/Reprographics, and UCDH catering/vendor process) Knowledge of practices and protocols related to home health and hospice operations Key Responsibilities 30% - Administrative and Operational Support, Customer Service 25% - Program Support 20% - Supplies/Purchasing 10% - Technical Education and Support 10% - Event Planning 5% - Miscellaneous Department Overview The UC Davis Health Home Care Services Department is a full-service agency offering high-quality home health care. Our Home Health program is nationally ranked among the highest in patient satisfaction. The mission is to provide exemplary home care that responds to the diverse physical, psychosocial, and spiritual needs of patients during the healing process. Department Specific Job Scope HCS is made up of three primary programs: Hospice (inpatient and home care), Home Health, and Home-Based Palliative Care. The administrative team, Clinical Operations, supports all three programs and this position belongs to that team. HCS is a mid-sized, diverse office with approximately 95 clinical and non‑clinical staff, working in the office, hospital, and the field.
