Supervising Legal Secretary

Sacramento County

Position Overview The Supervising Legal Secretary performs a wide variety of specialized legal clerical and general clerical work, including composing and typing legal documents and correspondence, processing legal documents, and maintaining legal case records. The position requires supervisory responsibility for a clerical staff, exercising supervision directly or through subordinate lead workers. This class is comparable to other clerical supervisory classes in the exercise of independent judgment and responsibility, but is differentiated by the requirement for a high level of skill in and knowledge of legal processes and procedures. The role may also encompass Word Processing Control Operator duties. Responsibilities Compose, type, and edit legal documents and correspondence. Process legal documents and manage legal case records. Supervise a clerical staff, including planning, organizing, and directing work. Train clerical staff and participate in intra‑ and inter‑department training. Establish and maintain efficient office procedures for recordkeeping, file systems, and processing of legal documents. Operate standard office machines and the Word Processing Control System, training users as needed. Maintain effective working relationships with co‑workers, agency personnel, and the public. Required Knowledge and Abilities Purpose, format, and processing procedures of a wide variety of legal forms and documents. Legal terminology, spelling, and usage. English grammar, punctuation, and usage for both general business and legal correspondence. Principles and practices of supervision and training. Basic personnel policies and procedures of Sacramento County. Procedures of the Superior, Municipal, and other courts regarding the processing of legal documents and filing deadlines. General clerical office practices and procedures. Basic organization of a law library. Ability to plan, organize, and direct the work of others. Analyze situations accurately and implement effective actions with minimal direction. Operate standard office machines, word processors, computer terminals, printers, tape recorders, copiers, and multi‑line telephones. Communicate clearly and concisely, orally and in writing. Establish and maintain effective office procedures and relationships. Employment Qualifications Either: one year of experience in Sacramento County service as a Legal Secretary II; or: two years of experience in Sacramento County service as a Legal Secretary I; or: three years of clerical experience involving the preparation and processing of legal documents for court action as described in the job duties; or: educational or training from an accredited college, business school, or training school directly related to the knowledge and abilities specified, substituting for up to one year of the required experience (30 semester units or 45 quarter units equals one year of experience). Special Requirements Typing speed of at least 50 net words per minute from clear copy. For positions requiring shorthand, ability to take oral dictation at 100 words per minute and transcribe at 30 net words per minute. Word Processing Control Operator responsibilities may include: managing workspaces, print queues, backups, disabling/enabling workstations, diagnosing and correcting looping problems, providing user support, and coordinating training.
