JOB SUMMARY The Physician Practice Administrative Specialist is responsible for overseeing the day-to-day administrative operations of a physician practice. This position collaborates closely with providers, clinic leadership, and support departments to maintain efficient workflows, maximize resources, support staff performance, and ensure compliance with healthcare regulations and organizational policies. KEY RESPONSIBILITIES • Supervise clinic staff and ensure adherence to organizational policies and procedures. • Collaborate with providers and clinic leadership to resolve operational issues and improve workflow efficiency. • Maintain clinic staffing schedules, including vacation requests, sick leave, and extended absences. • Coordinate staffing needs and communicate workforce requirements to clinic leadership and Human Resources. • Monitor and track onboarding and training activities for new clinic employees. • Process and manage clinic supply orders. • Assist with accounts receivable reports and collection activities in partnership with the Billing Department. • Support Population Health reporting initiatives and assigned projects. • Maintain knowledge of and enforce compliance with HIPAA, OSHA, COLA, and CLIA standards. • Promote a positive, team-based work environment focused on patient service and operational excellence. • Perform additional administrative duties as assigned.

Qualifications

Required: • High school diploma or equivalent. • Minimum of three (3) years of office administration or office supervisory experience. • Strong interpersonal, leadership, and administrative skills. • Proficient computer, data entry, and office software skills. • Excellent verbal and written communication skills. • Strong organizational skills with attention to detail and accuracy. • Ability to prioritize multiple responsibilities and work independently. • Ability to read, write, speak, and understand English. Preferred: • Associate degree or Bachelor's degree in Business, Accounting, Information Systems, Healthcare Administration, or a related field. • Previous medical office, clinic, or healthcare experience. • Knowledge of medical billing, scheduling, and healthcare operations. • Bilingual Spanish language skills.
