Administrative/accounts payable coordinator

Job Title: Receptionist/Accounts Payable Coordinator Location: Deerfield Beach, FL (On-Site)

What You'll Do: Front Office & Culture Coordinator:- The Face of the Office: Warmly greet visitors, answer and route incoming phone calls, and manage the daily mail.
- Logistics & Supply Chain: Keep the main office and all of our distribution centers fully stocked by managing supply orders, vendor approvals, and maintaining office equipment like our Ricoh machines.
- HR & Scheduling Support: Keep our operations running smoothly by tracking vehicle schedules, updating the master PTO calendar, and auditing bi-weekly missed punches in ADP.
- Invoice Auditing: Vet, audit, and voucher all incoming invoices for major accounts, including Allsteel, Majestic Steel, and Office Depot.
- Expense Compliance: Audit receipts within Expense Path, build expense reports for designated managers, and proactively follow up with cardholders regarding outstanding items.
- Credits & Tracking: Generate and submit steel scrap credits to Allsteel and Majestic; manage monthly utility invoicing and maintain the regular expense spreadsheet.
- Ledger Maintenance: Record check mailing dates in the AP check registers, date-stamp invoices upon mailing, and process/log monthly engineering cost rolls into Excel.
- Disbursements: Oversee the mailing of all checks and certified letters, ensuring precise tracking records are maintained.
- Tech-Savvy: Microsoft Excel is a must. Experience with ADP or Expense Path is a huge plus!
- The Multi-Tasking Marvel: Someone who can comfortably switch gears from auditing a spreadsheet to welcoming a guest with a smile without missing a beat.
- Dependability: A trustworthy professional who takes pride in flawless accuracy and respects data confidentiality.
- Communicator: Excellent professional communication skills, both over the phone and via email.

education: No Degree Required Responsibilities Front Desk & Adminstrator Coordinator:

- Lead by Example: Train temporary staff to cover the front desk so you can completely unplug and relax during your own well-deserved PTO!
- Invoice Mastery: Vet, audit, and voucher incoming invoices for selected vendors.
- Expense Path Champion: Audit receipts, build expense reports for key management team members, and proactively chase down missing submissions from cardholders.
- Credits & Utilities: Generate and submit credits and manage the regular monthly expense spreadsheets and utility invoicing.
- Data & Engineering Support: Log monthly cost rolls into Excel for our Engineering team and keep the AP check registers meticulously updated.
- Secure Disbursements: Handle the mailing of checks and certified letters, tracking every piece of critical mail perfectly.
