Senior Full-Charge Bookkeeper / Construction Accountant

Full-Time | On-Site | 90-Day Temp-to-Permanent | Philadelphia Region

About Us

Bates Brothers Mechanical is a growing commercial HVAC and plumbing contractor serving the Philadelphia region. We're looking for a Senior Full-Charge Bookkeeper, or a Construction Accountant with similar experience, to take full ownership of our books. That starts with a cleanup of our QuickBooks Online file and continues with day-to-day accounting, payroll, union reporting, and construction billing.

What We're Looking For
The first priority for this role is getting our books accurate and current. You should have proven experience taking over a QuickBooks Online file that needs work, finding and correcting errors, and leaving behind clean, reliable records and processes.

We don't need someone who just enters transactions. We need someone who understands the numbers, checks their own work, catches errors before they become problems, and follows discrepancies until they're resolved. Attention to detail and organization must be among your strongest skills.

Responsibilities

QuickBooks Online Cleanup

• Review and clean up our QuickBooks Online file
• Reconcile and catch up bank, credit card, and loan accounts
• Identify and correct miscategorized transactions, duplicates, and posting errors
• Review and clean up open A/R, A/P, and undeposited funds
• Organize the chart of accounts, items, and job/customer structure for accurate reporting
• Work with our outside CPA to confirm balances and prepare accurate financial statements

Full-Charge Bookkeeping

• Manage the full accounting cycle through month-end close
• Enter and review vendor invoices; verify against purchase orders and supporting documentation
• Process and apply customer payments
• Identify and prevent duplicate invoices and payments
• Review A/R and A/P aging reports
• Reconcile all bank and credit card accounts monthly
• Prepare monthly financial statements for management
• Maintain and improve accounting procedures and internal controls

Payroll & Union Reporting

• Process weekly payroll and review employee time for accuracy
• Prepare and submit monthly union reports for our HVAC and Plumbing divisions
• Reconcile union reports to payroll records

Construction Accounting & Billing

• Prepare and submit AIA progress billings (G702/G703)
• Track schedules of values, retainage, contract amounts, change orders, and prior billings
• Track T&M, contract, and change-order billing
• Maintain accurate job costing and help analyze job profitability
• Reconcile job costs, committed costs, billings, and contract values
• Review project financials for billing or cost discrepancies
• Coordinate billing documentation with project managers and customers
• Prepare or assist with WIP (Work-in-Progress) reporting

Required Qualifications

• Several years of experience as a full-charge bookkeeper or construction accountant
• Proven QuickBooks Online cleanup experience (please describe it when you apply)
• Ability to handle the full accounting cycle through month-end close and financial statements
• Payroll processing experience
• Strong understanding of accounting principles, reconciliations, and the general ledger
• Ability to spot when something doesn't look right, then research and resolve it on your own
• Excellent organization, recordkeeping, and time management
• Clear communication and ownership of deadlines

Strongly Preferred

• Commercial construction accounting experience
• AIA billing (G702/G703), retainage, change orders, and progress billing
• Job costing and WIP reporting
• Union payroll and reporting

Position Details
This is a full-time, on-site position. It is not remote. The role begins with a 90-day temporary period. Candidates who show strong accuracy, organization, and fit with our team during that time may be offered a permanent full-time position with Bates Brothers Mechanical.
