Key Responsibilities

• Patient Coordination & Intake: Greet patients warmly, check patients in/out, verify registration materials, consent forms, and insurance cards, and confirm required documentation or drivers are present.
• EMR & Administration (Athena Health): Manage document routing, task queues/buckets (24–48 hour turnaround), weekly documentation benchmarks, and schedule follow-up appointments.
• Call Center & Digital Messaging: Answer inbound calls, triage patient cases, manage appointment confirmations and text reminders, and monitor voicemails/missed calls.
• Financial Management & Cash Handling: Collect copays, coinsurance, and outstanding balances at time of service. Balance a $200 cash drawer daily, run TOS reports, and reconcile payments against the EMR.
• Schedule Optimization: Execute no-show protocols, contact patients who cancel to reschedule, and communicate practice fee policies to maximize clinic workflow.
• Clinic Operations: Keep the lobby and reception area pristine, perform end-of-day closing procedures/restocking, and assist leadership with special operational projects.
