Bilingual Medical Receptionist
Townsen Memorial Surgery Center - Med Center is currently seeking a full-time bilingual medical receptionist to join our team! The medical receptionist is responsible for greeting patients, scheduling appointments, performing clerical duties, and providing medical procedural support. The medical receptionist exhibits professionalism while answering inquiries and providing information to the general public, visitors, patients, and other interested parties regarding activities conducted at the establishment and location of departments, offices, and employees within the organization.
Essential functions include:
- Greeting patients as they arrive at the facility and providing appropriate information
- Ensuring all vendors and visitors are signed in and processed according to facility policy
- Assisting patients to complete all necessary forms and documentation, ensuring completeness and accuracy
- Updating patients' information into the database and logging all demographics in the EMR system
- Maintaining patient accounts by obtaining, recording, and updating personal and financial information into e-clinical
- Obtaining revenue by recording and updating financial information, recording and collecting patient charges
- Moving patients through appointments as scheduled, notifying the provider of patient arrival
- Answering telephone, assisting with inquiries, directing calls and messages to appropriate medical office staff
- Responding and complying to requests for information including sending faxes and e-mails
- Updating appointment calendars, scheduling, and rescheduling patients' appointments
- Supporting medical staff by completing administrative requirements
- Calling patients and reminding them of their appointments
- Keeping patients' families informed of patient status
- Managing filing and record keeping activities
- Creating and labeling appropriate charts for patients, obtaining all necessary documents related to the patient chart
- Ensuring the reception area is well maintained, neat, and clean, including the magazines
- Following all safety rules, reporting all accidents promptly, and correcting minor safety hazards
- Communicating with peers and management regarding any hazards identified in the workplace
- Adhering to the company standards of business conduct, and protecting patient and family privacy rights
- Maintaining confidentiality of patient records in accordance with policy, procedure, and HIPAA requirements
- Reporting statistics as required
- Coordinating mail flow in and out of the office
- Maintaining stock of forms and office supplies
- Performing other related duties as assigned
Knowledge, skills, and abilities include:
- Exceptional customer service and phone etiquette, communicating professionally with patients
- Demonstrating customer service standards (smiles and makes eye contact, greets each patient and visitor, seeks out patient and visitor contact, always displays appropriate body language, take 5 minutes each day to go above and beyond for one patient or visitor, honor diversity, and thanks each customer/patient)
- Knowledge of administrative and clerical procedures, office procedures, and terminology
- Knowledge of systems such as word processing, managing files, and records
- Knowledge of computer, proficient in Microsoft Office, including Outlook, Excel, and Word
- Strong attention to detail, careful about detail, and thorough in completing work tasks
- Ability to maintain composure, keep emotions in check, control anger, and avoid aggressive behavior
- Ability to maintain efficiency in high stress situations, accept criticism, remain calm, interact
- Ability to adapt with flexibility, open to change (positive or negative) and to considerable variety in the workplace
- Ability to work independently, guide oneself with little or no supervision, and get things done
- Ability to maintain effective and organized systems to ensure timely patient flow
- Demonstrates polished patient interaction skills, organizational skills, multitasking, and task-oriented skills
- Ability to complete additional educational requirements as assigned by due dates
Education and experience include:
- High school diploma or GED
- One (1) year of experience in a medical office setting
- Basic Life Support (BLS) certified or must be obtained within thirty (30) days of hire
