About the Opportunity

A well-established law firm in Carlsbad is seeking an experienced Litigation Legal Secretary to join its busy civil litigation practice. This role is ideal for a highly organized legal professional with a strong understanding of litigation procedures, court rules, calendaring requirements, and filing deadlines. The firm is looking for someone who can thrive in a fast-paced environment while providing exceptional support to attorneys and clients.

Key Responsibilities

• Provide comprehensive legal and administrative support to multiple attorneys.
• Manage complex court calendars, including all statutory, court-ordered, and litigation deadlines.
• Prepare, revise, proofread, and finalize a variety of legal documents, including:
  • Pleadings
  • Motions
  • Discovery requests and responses
  • Correspondence and legal memoranda
• Coordinate electronic and physical filings in state and federal courts, ensuring compliance with all applicable court rules and procedures.
• Schedule and coordinate depositions, hearings, mediations, client meetings, and trial logistics.
• Maintain organized electronic and physical case files.
• Assist with document drafting, formatting, and other legal administrative projects as needed.
• Communicate professionally with clients, court personnel, opposing counsel, and vendors.
• Support attorneys with ongoing case management and litigation workflow.

Qualifications

• Minimum 3 years of experience as a Litigation Legal Secretary.
• Strong working knowledge of civil litigation procedures, court rules, and litigation deadlines.
• Experience preparing and filing court documents in state and federal courts.
• Proficiency with e-filing platforms, document management systems, and Microsoft Office.
• Excellent written and verbal communication skills.
• Exceptional organizational skills with the ability to manage multiple priorities simultaneously.
• High level of professionalism, discretion, and attention to detail.
• Ability to work independently and proactively in a deadline-driven environment.

Preferred Experience

• Experience supporting multiple attorneys in a civil litigation practice.
• Familiarity with trial preparation and litigation support functions.
• Experience coordinating complex litigation calendars and filings.

1. 3+ years of litigation legal secretary experience
2. Strong knowledge of court filings, deadlines, and litigation procedures
