We are seeking a highly organized, detail-oriented Transaction Coordinator to manage and execute multiple dental practice sale transactions from accepted offer through closing.

This role is operational and process-driven. The Transaction Coordinator will oversee 10–15 concurrent transactions, ensuring all milestones, documentation, and closing requirements are completed on schedule.

IPS operates a structured transaction playbook and digital portal that organizes every deal into weekly milestones and task assignments for buyers, sellers, lenders, escrow officers, and advisors. The Transaction Coordinator will manage these workflows and ensure each transaction progresses smoothly toward closing.

This is a project management role, not a sales position. Success requires strong organizational discipline, attention to detail, and comfort working inside structured digital systems, as well as a willingness to reach out to dentists (buyers and sellers), lenders, attorneys, consultants, and our own team of advisors.

Responsibilities

Transaction Management

• Manage 10–15 active transactions simultaneously from contract to closing
• Monitor weekly transaction milestones using the IPS transaction playbook
• Ensure all required documents and deliverables are collected and tracked
• Coordinate communications between buyers, sellers, lenders, escrow, attorneys, and advisors

Workflow Oversight

• Manage deal progress inside the IPS transaction portal
• Track completion of required milestones and conditions
• Identify delays or missing deliverables and escalate when necessary
• Review and approve automated weekly transaction status updates before distribution

Documentation & Compliance

• Maintain organized transaction records
• Track contract deadlines and contingency periods
• Coordinate document signatures and closing documentation
• Ensure deal files are complete and properly documented

• Communication
• Provide clear and professional updates to clients and internal team members
• Follow up with transaction participants to ensure tasks are completed
• Maintain consistent communication throughout the escrow process

Software Experience (Helpful but Not Required)

• Experience with any transaction management, CRM, or workflow platform is beneficial.
• Candidates who have worked within structured digital systems will adapt quickly to the IPS platform.

Compensation

Base Salary: $60,000 – $75,000 annually, depending on experience
