the Space Needle from November to December 2025, but the work starts now! The

The Seattle Christmas Market (SCM) will be entering its third year of operation 

\n

after a breakout start in 2023. With an expected attendance of over 180,000 guests, 

\n

our month-long market experience is the first of its kind in Washington State.

has welcomed over 2.5 million guests since 2010 in Downtown Vancouver, B.C.

Contract Full-Time Employment Opportunity – Event Operations Coordinator

\n

The Seattle Christmas Market is seeking a driven, enthusiastic Event Operations 

\n

Coordinator, who will report directly to the Operations Manager. A successful 

\n

candidate for this role is a creative thinker who understands the specific needs of 

\n

the company’s seasonal events while keeping in mind the larger components 

\n

necessary for its completion. This candidate is a confident leader and efficient 

\n

planner. A successful candidate must be proficient in daily event operations and 

\n

have the expertise to coordinate with suppliers and partners.

\n

\n

This contract full-time position will start on October 15. From November to 

\n

December, you will be required to be on-site based on market hours, which include 

\n

evenings and weekends.

\n

\n

The Event Operations Coordinator supports the successful execution of the Seattle 

\n

Christmas Market by overseeing essential on-site logistics, managing key support 

\n

teams, and ensuring smooth coordination between vendors, infrastructure, and 

\n

event departments. This role demands high organization, clear communication, 

\n

and proactive problem-solving to maintain the highest standards of market 

\n

operations.

\n

\n

Roles and Responsibilities:

\n

• Collaborate with the Operations Manager to prepare and maintain the 

\n

detailed Production Schedule.

\n

• Manage the Hausmeister team to support Vendor Services, Decor, and Site 

\n

Maintenance needs.

\n

• Assist with supplier coordination and execution during load-in, event 

\n

operations, and load-out.

\n

• Support on-site infrastructure planning to meet city/venue permit 

\n

requirements and inspection standards.

\n

• Participate in site inspections and provide ongoing regulatory and safety 

\n

compliance support.

\n

• Maintain clear daily communication with the Operations Manager, 

\n

escalating issues as needed.

\n

• Keep accurate records for year-end reviews, compliance, and operational 

\n

analysis.

\n

• Coordinate market inventory management, including warehousing, 

\n

materials movement, asset tracking, and end-of-season reconciliation.

\n

• Work with the Decor Supplier and internal teams to ensure timely, highquality decor installation.

\n

• Provide on-the-ground operational support to vendors, FOH, carousel, and 

\n

information services.

\n

• Monitor supplier performance against contractual obligations, raising 

\n

concerns with the Operations Manager.

\n

• Attend supplier and training meetings to stay current on best practices and 

\n

trends.

\n

• Coordinate asset shipping, imports, and orders in collaboration with the 

\n

Operations Manager.

\n

• Collaborate with SCM and VCM teams to establish an effective decor order 

\n

and setup process.

\n

\n

Requirements and Selection Criteria:

\n

• Curious, Inquisitive, Creative, and a Christmas enthusiast;

\n

• 2 years' experience executing events/ festivals in a managerial role

\n

• Degree or Certificate in event management or stage management is 

\n

preferred

\n

• Must have advanced proficiency with software and online tools – specifically 

\n

with the full Microsoft Office Suite.

\n

• Experience with Airtable, and Square would be an asset.

\n

• Diplomatic approach while working within policies, rules, and procedures;

\n

• Demonstrative, self-critical, determined approach to completing 

\n

assignments;

\n

• Ability to multitask within tight deadlines;

\n

• Proven experience working with suppliers for events or festivals;

\n

• Excellent verbal and written communication skills;

\n

• Attention to detail working with documents and projects during the market;

\n

• Excellent organizational skills and project management experience;

\n

• Experience with scheduling and overseeing the activities of large groups;

\n

• Ability to take projects from concept through execution to final production;

\n

• Ability to quickly adapt to changing environments, problem-solving skills, 

\n

and an innovative mindset including exercising good judgment and decision 

\n

making;

\n

• Valid US Passport

\n

• Valid Driver's license

\n

• Ability to lift up to 50 pounds and work in an outside environment for long 

\n

periods of time.

Compensation

• Salary range: $26 - $31 per hour
