Facilities Management Specialist

Facilities & Workplace Operations Manager We are seeking an experienced Facilities & Workplace Operations Manager to support and enhance the daily operations of our Connecticut office locations. Reporting to the Director of Facilities, this individual will play a critical role in overseeing workplace services, office operations, security administration, and space planning initiatives across the organization. The ideal candidate is highly organized, solutions-oriented, and comfortable managing both strategic projects and hands-on operational responsibilities in a fast-paced professional environment. Key Responsibilities Partner with department leaders to evaluate current and future workspace requirements, including office reconfigurations, relocations, and seating plans. Lead facilities-related projects from planning through execution, including scheduling, budgeting, vendor coordination, risk assessment, and employee communications. Coordinate office renovations, infrastructure improvements, and workplace enhancements with architects, contractors, and external service providers. Maintain and optimize the company’s space management platform to ensure accurate reporting, utilization tracking, and operational efficiency. Serve as the primary contact for serviced office relationships, including lease coordination, building policies, billing matters, and operational support. Facilities & Office Operations Oversee reception and contracted office support staff to ensure a high standard of workplace experience and daily operations. Manage office functionality, cleanliness, safety, and maintenance across locations. Coordinate with building management, engineers, security personnel, and vendors regarding repairs, preventative maintenance, and operational issues. Administer company-wide access control and security systems, including audits, credential management, and standardization of global processes. Respond to and resolve facilities-related issues involving HVAC, lighting, plumbing, kitchens, and general office upkeep, escalating when necessary. Partner with property management teams to monitor building systems and ensure proper testing and maintenance of critical infrastructure. Business Operations & Vendor Management Support business continuity and emergency preparedness planning by maintaining documentation and communication protocols. Coordinate onboarding logistics, workstation assignments, and office moves in partnership with IT and other internal teams. Manage vendor relationships, contract renewals, and service performance against agreed SLAs and operational expectations. Oversee purchasing and inventory management for office supplies, pantry services, and workplace resources while maintaining budget oversight. Supervise storage operations and maintain accurate tracking of office assets and inventories. Standardize mailroom and shipping procedures across office locations. Review invoices for accuracy and contract compliance and assist with facilities budgeting and quarterly expense analysis. Provide operational support for internal events and company initiatives as needed. Assist with additional projects and cross-functional team support responsibilities. Qualifications 10+ years of experience in facilities management, workplace operations, office management, or construction/project management environments. Strong project management and organizational skills with the ability to manage multiple priorities simultaneously. Experience interpreting floor plans, construction drawings, and workplace planning documentation. Excellent communication and interpersonal skills with the ability to build strong relationships across all levels of the organization. Proficiency with workplace management systems, access control platforms, Microsoft Excel, PowerPoint, and related operational tools. Demonstrated ability to handle confidential information with professionalism and discretion. Self-starter with strong follow-through, attention to detail, and a collaborative mindset.
