Patient Service Representative

Overview RAYUS Radiology is looking for a Patient Service Representative to join our team. You will be responsible for executing the day‑to‑day activities of patient‑facing service, ensuring quality assurance and customer service satisfaction while facilitating and coordinating communication between patients, family members and staff. The role provides optimal patient‑centered services supporting the imaging center front office, medical records, and technologist assistant roles. Full‑Time position working Monday‑Friday from 2:30pm‑11:00pm. This includes an evening shift differential! Essential Duties and Responsibilities (60%) Front Desk Serve as initial point of contact for patients and visitors, creating and providing a positive legendary Patient Service Experience. Timely registration of patient(s) arrival by validating accurate demographic information and professionally collecting out‑of‑pocket payments prior to services being rendered. Inform patients about delays and wait times; follow up when necessary to ensure satisfactory resolution. Answer, investigate, and/or direct patient inquiries or complaints to the supervisor or manager. Obtain and validate photo identifications and insurance cards, scan relevant documents into patients' chart electronically and categorize appropriately. Provide Consent, Financial, and HIPAA compliance documents, explaining them thoroughly to patients if necessary. Proficiently utilize and apply EHR software, hardware, and programs. Scrutinize prescriptions and referrals for accuracy to ensure patients receive appropriate and necessary exams. Coordinate with interdepartmental professionals to ensure patient satisfaction regarding appointment scheduling and admission/encounter. Verify and dispense oral contrast and preparation instructions to patients scheduled for upcoming appointments. Participate in medical office emergency routine when required, summoning ambulance or EMS and assisting other staff members as needed. Manage outgoing and incoming faxes through both electronic and manual fax machines. Maintain appropriate levels of administrative office supplies (e.g., RAYUS brochures, cards, sign‑in sheets). Contact referring physician offices to verify information or request pending information necessary for the patient’s exam. Organize and prioritize tasks to meet deadlines while ensuring efficient patient flow. Use proper phone and written etiquette when handling correspondence. Maintain reception and patient waiting area(s) such as cleanliness, sanitation, literature organization and beverage supply. Align with company mission and embody the core values of RAYUS. Adhere to and comply with company policies, procedures, operational objectives, and goals. Maintain strict confidentiality of PHI in accordance with HIPAA regulations. (20%) Medical Records Ensure quality assurance of health records by verifying completeness, accuracy and proper entry into computer systems. Serve as point of contact for patients and visitors regarding medical records, providing a positive legendary patient service experience. Retrieve and release health information in compliance with HIPAA and company policies and procedures. Interact and work cooperatively with patients and team members of diverse backgrounds, ensuring inclusion. Act as liaison between healthcare providers and offices in a timely manner. Proficiently utilize EHR software, hardware, and programs. Organize and prioritize tasks to meet deadlines while ensuring efficient patient flow, taking appropriate action with sound judgment. Provide clear and friendly patient education of diagnostic examinations and deliver instructions in adherence to company policy and procedures. Maintain strict confidentiality of PHI in accordance with HIPAA regulations. Maintain reception and patient waiting area(s) such as cleanliness, sanitation, literature organization and refreshment supply. (15%) Technologist Support Monitor all modality schedules. Greet and escort patients to the changing room; briefly explain the procedure. Perform proper sanitizing techniques in the changing room turnaround. Help the technologist stay on time by having the next patient ready before the current patient leaves the table. Ensure patient areas are stocked and organized in a neat and tidy manner. Cleans and stocks patient prep room and patient restroom. Stocks linen and empties laundry at the end of the shift. Check with technologists, center supervisor, or center manager for additional duties as needed. (5%) Other Duties as Assigned Additional duties as assigned by management.
