Operations Coordinator

The role of the operations coordinator is to manage and organize the day to day tasks for the business, as well as assist with the customer experience. Efficient and proactive management of tasks, schedules and systems is a vital part of this role. Proactive communication across departments within the company is necessary on a daily basis. This role does not include management of personnel.

Hours : 8am -5pm Tuesday –Saturday. 

Location : 4109 N. Davis Hwy, Pensacola, FL 32503 

Pay: $18 + (Depending on experience) 

RESPONSIBILITIES AND DUTIES

Scheduling:

Manage, organize and coordinate schedules including design appointments, measure appointments, closing appointments, installation schedules, production schedules, service calls and meetings by providing timely communication with customers, sales staff and crew. Review schedules on a daily basis to establish priority items that impact the pulse of the company as well as what impacts production schedules and the sales process.

Production: 

Work closely with the sales team to identify and prioritize tasks needed to complete the design/sales/order process. Oversee purchase order tracking, ensuring accuracy with contracts and coordinating updates with sales representatives as jobs progress.

Additional duties include processing orders, checking order acknowledgments, tracking status of materials, data entry, maintaining accurate and updated job profiles in our internal CRM system, organizing and filing physical and digital job documentation, coordinating with accounting to verify job costs and subcontractor payments. 

Other: 

• Answer phones and help greet customers when needed
• Office supply inventory and ordering
• Help keep showroom clean and tidy 
• Assist with business related errands as needed

QUALIFICATIONS & SKILLS REQUIRED

• Must have high level organization skills with superior attention to detail, accuracy and time management 
• Must be a naturally self motivated problem solver 
• Must have exceptional people skills
• Must have leadership skills
• Must be able to take control and tactfully handle difficult situations while maintaining excellent customer service
• Must have excellent written and verbal communication skills 
• Must be capable of multi-tasking and meeting deadlines while maintaining a high level of integrity and professionalism 
• Must be team player
• Must be dependable/reliable
• Must have excellent computer skills. Knowledge of Google Work Suite is a plus. (Google Sheets, Google Calendar, Google Docs) 
• Must possess a current, valid driver’s license, and reliable transportation 
• Must be able to pass background and drug screening
• Must be able to work our hours of operation. (Tues-Sat 8am -5pm)
