Reports to: Manager, Pharmacy Billing Operations

Purpose

The Supervisor, Pharmacy Billing Operations oversees the day-to-day activities of the pharmacy billing operations team to ensure accurate, timely, and compliant billing processes. This role drives team performance, supports operational improvements, and fosters a culture focused on service excellence, accountability, and financial performance.

Responsibilities

• Supervises, coaches, and develops a team of pharmacy billing operations specialists.
• Provides ongoing feedback and training and conducts annual performance evaluations.
• Fosters a culture of productivity, accountability, continuous improvement, and customer service.
• Develops, implements, and maintains SOP’s for the department to ensure internal controls and policies are being adhered to around billing and collections processes.
• Works closely with cross functional teams on initiatives, process improvements, and problem solving.
• Monitors resolution of credit balances for refunds and adjustments.
• Evaluates opportunities to automate work functions to reduce cost of doing business associated with labor costs.
• Monitors team performance and identifies strategic opportunities to support long-term growth.
• Manages multiple priorities effectively while meeting established deadlines.
• Participates in interviews and evaluates candidates for open positions.
• Manages timecards to ensure accurate timekeeping and payroll readiness.
• Coordinates PTO to maintain coverage and ensure compliance.
• Processes write-offs in accordance with policy and documentation requirements.
• Supports daily operations and helps resolve escalations as needed.
• Distributes workload to balance team capacity, monitors productivity and ensures service-level expectations are met.
• Supports onboarding and training while reinforcing standard processes and best practices.
• Ensures billing accuracy, completeness, and compliance.
• Monitors billing cycles and resolve discrepancies in a timely manner.
• Serves as back-up to the Manager, Billing Operations.
• Other duties and projects as assigned.

Required Qualifications

• Bachelor’s degree in Accounting, Business, Healthcare Administration, Finance, or a related field required; equivalent combination of education and relevant experience may be considered in lieu of a degree.
• Minimum of three (3) years experience in billing or financial operations.
• Demonstrated knowledge of pharmacy billing and collections practices across multiple payer types, including an understanding of operational controls and reimbursement workflows.
• Strong supervisory, coaching, and team development capabilities with the ability to drive accountability, performance, and engagement.
• Excellent verbal and written communication skills, with the ability to communicate effectively across all levels of the organization.
• Strong analytical and problem-solving skills, with the ability to evaluate operational issues, interpret performance data, and make sound, timely decisions.
• High degree of professionalism, discretion, sound judgment, and attention to detail.
• Proficiency in Microsoft Office applications, particularly Excel, Outlook, and PowerPoint.

Preferred Qualifications

• Minimum of one (1) year experience in a supervisor or team lead role.
• Experience leading process improvement or workflow optimization initiatives within revenue cycle, billing operations, or related functions.

Work Environment

This position operates in a home or professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers and fax machines.
